Job Overview:

We are seeking an Executive Business Assistant to provide comprehensive administrative and operational support to our leadership team and business functions. This role requires a proactive individual who can effectively manage schedules, coordinate meetings, track action items, assist with reporting, and contribute to various business initiatives. The ideal candidate is detail-oriented, highly organized, and thrives in a dynamic, fast-paced environment.

What Your Work Will Entail:

Meeting Coordination & Agenda Preparation:

  • Organize and schedule meetings, ensuring alignment with business priorities.
  • Prepare agendas and necessary materials in advance.
  • Take detailed notes during meetings and track action items for follow-up.​

Administrative Support:

  • Manage calendars for leaders, scheduling appointments, and ensuring efficient time management.wishup.co
  • Coordinate travel arrangements and handle expense reporting.
  • Organize and maintain confidential files and records.​

Follow-up & Task Management:

  • Monitor outstanding tasks and deadlines, ensuring follow-through on key initiatives.
  • Send reminders and updates to relevant stakeholders.

Report Preparation & Data Management:

  • Compile and organize data to create reports and presentations.
  • Conduct research as needed to support decision-making.

Communication & Liaison:

  • Act as a point of contact between leadership, internal teams, and external stakeholders.
  • Draft and proofread professional correspondence, memos, and emails.

Project Coordination:

  • Assist in planning and executing business projects.
  • Coordinate cross-functional teams to ensure project milestones are met.

Process Improvement:

  • Identify opportunities to streamline administrative processes.
  • Implement solutions to enhance operational efficiency.

What You Bring To This Role:

  • 3+ years of experience experience as an Executive Assistant, Business Assistant, or similar role supporting leadership and business operations.
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills in English.
  • Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar) and project management tools (e.g., Asana, Trello, or Monday.com).
  • Ability to work independently while maintaining attention to detail and accuracy.
  • High level of discretion and professionalism when handling confidential information.
  • Experience coordinating across multiple time zones is a plus.
