We are seeking an energetic and enthusiastic Administrative Assistant with experience in collaborating and building strong relationships with software engineers and is skilled in hosting VIP guests. Must be well organized, flexible, and enjoy the administrative challenges of supporting a busy office of diverse people.
Office Administration
- Provide shipping and receiving services to the site by preparing packages for shipment using UPS, FedEx, USPS, or other appropriate services; and obtaining and processing receiving documents.
- Provide general support to employees, online communications, callers, and visitors.
- Greet and welcome visitors and complete sign-in process and security requirements (distributing and logging key cards and visitor badges), etc. Provide visitor(s) & service technician(s) escort per security procedures.
- Answer and respond professionally to telephone calls, emails, and other critical office communications. Runs errands as needed, making wise use of time and resources.
- Inventory, monitor, order, and stock office supplies, employee health supplies, cleaning and sanitizing supplies, company snacks, breakroom supplies, etc.
- Monitor the office and site conditions in partnership with the Facilities Department and arrange necessary maintenance and repairs as required.
- Ensure the reception area is kept tidy and projects a business-like image.
- Assist the Finance Department with receiving, as necessary.
Management Support
- Manage select day-to-day functions for assigned management team including calendar assistance with scheduling large or particularly complex meetings, travel planning, and expense reports.
Event Planning
- Assist with planning, coordinating, and executing company workshops, events, parties, and celebrations including larger on-site meetings and workshops, site-specific, corporate, or off-site activities that support employee engagement, and hosting external visitors and special guests.
What you’ll need to Succeed:
- Academic coursework in computer applications, office administration and technology, or other fields of study.
- 4+ years of experience as an Office Assistant, Front Office Assistant or Administrative Assistant or equivalent in a multi-faceted professional office providing service to internal and external customers.
- Knowledge of office management responsibilities, systems and procedures; accounting, data and administrative management practices and procedures.
- Advanced Microsoft Office skills, with the ability to become familiar with other programs and software as needed.
- Ability to design and edit graphic presentations, reports, and materials.
- Excellent verbal and written communication skills to build trust and strong relationships, effectively create reports and relate data, and communicate to a diverse workforce and external guests. Strong time management and organizational skills.
- Ability to prioritize and effectively anticipate needs. Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Ability to thrive in a face-paced environment with quickly changing business needs.
- Ability to ethically handle sensitive and highly confidential information with impartiality and professionalism.
Travel, Training and Safety Requirements/ Physical Requirements
- Position requires transportation to locations outside the main complex. Valid US Driver’s license with a safe driving record required.
- Wear appropriate personal protective equipment as required in areas identified through hazard assessment. Occasional exposure to outdoor weather conditions. Ability to work occasionally in inclement weather/temperature extremes.
- May occasionally lift and carry up to 40 pounds.
- Ability to make presentations and communicate to small and large groups.
- The position requires the employee to be able to enter, exit, and ride in both class 8 trucks and passenger vehicles.
- Ability to work overtime when project demands. Ability and willingness to work a flexible schedule when necessary.

US Pay Range
$56,500 - $67,800 USD
