Production Coordinator/Executive Assistant

We are looking for a Production Coordinator / Executive Assistant to the Head of Production to join Translation! Please note that this role is a Hybrid role: three days in office and two days remote.
What You'll Do
Provide general and administrative support to the production department such as:
- General production support with any and all projects from covering sessions to sourcing products for shoots, to helping to wrap all necessary tasks at the job close
- Coordinate and schedule production meetings of all types: status meetings, vendor screenings, editorial and finishing sessions, etc.
- Assist with production prep tasks such as checking production partner avails + resources, obtaining reels, researching vendors + production partners, etc.
- Assists with travel arrangements for all productions upon request
- Produces smaller scale videos and/or activations both internally and externally
- Handles contracts for all incoming Freelancers (Production + 16 Bars)
- Manages agency access to creative resources including, Source, Slate, Getty Images, Shutterstock
- Track Case Study productions for Award Seasons (partnered with Shanice Graves, Marketing + Comms Director)
- Manages award season case study video production and expenses (both agency and 16 Bars)
- Develops, maintains and proactively seeks relationships with production partners across disciplines (i.e. directors, editors, event companies, industrial design, digital, music, animation companies, VFX partners, etc.)
EA support for HOP including:
- Timesheet management
- Expenses management
- Travel coordination
- Meeting coordination
- Misc. tasks (i.e. meeting prep materials, etc)

Minimum Qualifications
- 4 year college degree and/or industry-related experience
- After-hours work and overnight traveling to shoots or post sessions required
Preferred Qualifications
- 2+ years production experience preferred
- Incorporate the passion, excitement, and experience of one’s MINOR in relevant ways that inform the quality and output of the agency’s deliverables
- Have the proven ability to work under tight deadlines and handle pressure, while consistently paying attention to accuracy and quality of work
- Possess superior time management, organization, and problem-solving skills
- Strength in working with colleagues, clients and vendors at a various levels and across functions
- Exceptional written and verbal communication skills
- Consistency of gaining trust and respect by demonstrating sound critical-thinking skills and maintaining composure in stressful situations
- Effective negotiation and follow through skills required

Salary Hiring Range: $26.00-$30.00/hour
Our salary ranges are based on paying competitively for our size and industry, and are one part of many compensation, benefits and other reward opportunities we provide (e.g. bonus, stock options, 401(k) match, etc.)
Individual pay rate decisions are based on a number of factors, including qualifications for the role, experience level, skillset, and balancing internal equity relative to peers at the company. We expect the majority of the candidates who are offered roles at our company to fall healthily throughout the range based on these factors.
The range above is for the expectations as laid out in the job description, however we are often open to a wide variety of profiles, and recognize that the person we hire may be less experienced (or more senior) than this job description as posted. If that ends up being the case, the updated salary range will be communicated with you as a candidate.
The salary range above is for the NY/CA. As a company, we have a location based strategy, which means the salary range could be lower or higher than this if the role is hired in another location.
