Position Summary: The Filevine Administrator will serve as the internal expert and primary point of contact for all Filevine-related support, development, and optimization. This role is critical to ensuring that our legal teams can work efficiently and effectively within the Filevine ecosystem. The ideal candidate has a strong background in law firm operations, excellent communication and training skills, and a proactive approach to problem-solving and system improvements.
Key Responsibilities:
• Serve as a primary administrator and subject matter expert for the Filevine platform.
• Manage and respond to user support tickets, troubleshooting issues and providing timely solutions.
• Design, test, and implement new workflows, custom fields, task flows, and reporting tools within Filevine.
• Provide training and onboarding to new users and create documentation and resources for ongoing education.
• Collaborate with department heads to identify opportunities for process improvements and translate them into Filevine solutions.
• Participate in and contribute to cross-functional projects, including automation, data migration, and reporting initiatives.
• Attend weekly team meetings to discuss platform updates, user feedback, and project status.
• Ensure data integrity and maintain security protocols within Filevine.
• Occasionally work overtime to meet project deadlines or resolve urgent system issues.
Required Qualifications:
• Filevine Expert Certification (Required)
• Filevine Master Certification (Preferred)
• Minimum 3 years of experience working within a law firm environment.
• Proven experience in Filevine administration and customization.
• Excellent verbal and written communication skills; able to clearly explain complex systems to non-technical users.
• Demonstrated ability to train and support end users across varying technical skill levels.
• Proficiency in Microsoft Word and PowerPoint.
• Strong organizational and time management skills, with the ability to handle multiple priorities simultaneously.
• High level of attention to detail and a commitment to delivering high-quality work.
Desired Qualifications:
• Familiarity with legal workflows, including personal injury processes.
• Experience with Filevine integrations and third-party tools.
• Understanding of data governance, compliance, and privacy standards in a legal setting.
Physical Requirements:
• Ability to sit for extended periods.
• Ability to use a computer for extended periods.
• Occasionally required to stand, walk, and reach with hands and arms.
• Must be able to lift and move items up to 20 pounds occasionally.
• Ability to move around and stand for extended periods during story mapping sessions.
