Job Description:

We are seeking a highly organized and motivated Dance Events Manager to join our team. This role plays a key part in coordinating and executing a wide variety of large-scale dance events and performance experiences.
The Dance Events manager will work closely with the Director of Dance Events to plan and manage several dance programs, including:

  • Dance The World Disney Summer
  • Dance The World Broadway Summer
  • Dance The World Disney Holiday
  • Dance The World Broadway Holiday
  • Dance The World Paris
  • Dance The World Nashville Summer (when applicable)
  • Dance The World Disneyland (when applicable)
  • Holiday Bowl Performance Experience

Responsibilities:

Responsibilities span the full event planning process, from logistics and communications to on-site coordination, ensuring every event runs smoothly and leaves lasting memories.

Costume Management

  • Order Coordination: Create and gather costume order forms from directors.
  • Vendor Liaison: Partner with our preferred costume partner, Weissmans, to efficiently place and ship all orders, ensuring timely delivery for events.
  • Financial Oversight: Manage invoicing and payments for costume orders across multiple events, maintaining accurate records for vendor transactions.
  • Returns Facilitation: Oversee the process of returning any excess costumes post-event.

Waiver Collection

  • Compliance Assurance: Ensure all youth participants complete necessary waiver forms, and submit birth certificates to verify age requirements for performances for Disney events
  • Form Compilation: Collaborate with team members to gather and format waiver forms, ensuring compliance with Disney's submission standards.

Performance Coordination

  • Creative Collaboration: Assist in selecting music and costumes for our Dance The World Events performances
  • Technical Preparation: Collect and format stage show music files from studio directors for submission to Disney and Broadway theaters.
  • Application Coordination: Gather and relay necessary information for Disney’s Imagination Campus applications, including audition videos and music submissions (when applicable)
  • Competition Registration: Assist with competition registration system in DanceBUG for the World Dance Competition

Document Management

  • Documentation Creation: Draft and edit essential event documents for each event each year, including proposals, itineraries, FAQs, agreements, and promotional materials.
  • Consistency Maintenance: Ensure consistent messaging and branding across all platforms, including websites, promotional material, and booking portals.

Event Planning and Logistics

  • Schedule Development: Collaborate with the Director of Dance Events to create comprehensive event schedules and proof documents for staff.
  • Itinerary Preparation: Craft detailed itineraries for each group, ensuring clarity and organization for all travelers.
  • Vendor Communication: Communicate with event vendors and partners to facilitate smooth operations
  • Travel Document Assembly: Assist in preparing physical travel documents for travelers, including tickets, itineraries, lanyards, and event wristbands.

Ticket Management

  • Ticket Procurement: Assist in ordering Disney tickets
  • Ticket Tracking: Collaborate with team members to scan and organize all Disney tickets and assign ticket numbers for every participant

Communication and Customer Retention

  • Director Support: Respond promptly to inquiries from directors for other dance events during the planning process, providing information as needed.
  • Client Relations: Foster strong relationships with repeat dance directors/studios, ensuring their needs are met and exceeded throughout the planning process.

Event Operations

  • On-Site Leadership: Travel to all dance events during both summer and holiday seasons to oversee operations, ensuring each event runs smoothly and successfully.
  • Assist in other event operations, such as Cook Around The World
