Front Desk Coordinator

We are looking for a dynamic and organized Front Desk Coordinator who will serve as the first point of contact for visitors, clients, and employees, while managing front office operations and providing comprehensive administrative support.
Key Responsibilities
Visitor Management & Security
- Greet and welcome visitors, employees, and clients in a professional and courteous manner
- Manage visitor access and verify visitor identities per Zone 5 Technologies Visitor Policy
- Issue, track, and collect visitor badges in accordance with company security protocols
- Escort visitors to and from meeting rooms, offices, or designated areas, ensuring compliance with security requirements
- Serve as administrator for Envoy visitor management system
Reception & Communications
- Answer, screen, and direct incoming phone calls to appropriate personnel
- Maintain a secure, clean, and professional front desk and reception area
- Collect, sort, and distribute incoming mail and packages
- Update and maintain office nameplates for employee workstations and offices
Office Operations & Support
- Ensure conference rooms are clean, orderly, and fully stocked with necessary supplies
- Support scheduling and setup for internal meetings and presentations
- Stock and maintain breakrooms and kitchen areas with supplies and refreshments
- Assist with ordering office supplies, snacks, and catering for meetings and events
- Support travel arrangement coordination for employees and visitors
- Assist with internal event coordination and special projects as needed
Required Qualifications
- 2+ years of experience in reception, customer service, or administrative support
- Strong attention to detail and excellent organizational skills
- Ability to manage multiple tasks efficiently in a fast-paced technology environment
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams)
- Professional communication skills, both verbal and written
- Ability to maintain confidentiality and exercise discretion with sensitive information
Preferred Qualifications
- Experience with visitor management systems (Envoy preferred)
- Previous experience in technology or professional services environment
- Experience coordinating meetings and events
Pay range for this role
$25 - $33 USD

Note about our Texas roles: we are in the process of opening a location on the mid-west side of the DFW metro region. Roles in Texas will initially work remotely and then be expected to be onsite when that location opens in 2026.
