The Role:
The Administrative Assistant provides high-level administrative and operational support to the Division’s Leadership Team, reporting directly to the Divisional President. This role coordinates calendars, meetings, travel, events, presentations, reporting, and other activities that help divisional leaders operate effectively.
The Administrative Assistant also supports document and data management, cultural initiatives, and new employee onboarding. This role regularly works with sensitive information and requires a high level of discretion, professionalism, accuracy, and cross-functional coordination.
Primary Responsibilities
- Manage executive calendars and coordinate divisional meetings and events, including scheduling, travel, accommodations, venues, and catering.
- Develop executive-level presentations and visual reporting, compiling information and metrics from across the division to create clear, consistent, and engaging materials.
- Maintain divisional documents, assets, databases, and reporting, including document organization, version control, data audits, and coordination with internal partners to resolve discrepancies.
- Create and coordinate content and visual assets supporting divisional communications, recognition, cultural initiatives, and annual or quarterly themes in partnership with Marketing.
- Coordinate new employee onboarding logistics and resources, maintain onboarding materials, and collect feedback to support continuous improvement of the new hire experience.
This is a hybrid position, coming into the El Segundo office 1x per week.
Please note that this is a temporary position.
What You Bring to the Table:
Qualifications
- High school diploma or GED required.
- 3–5 years of administrative or executive support experience.
- Experience coordinating calendars, meetings, events, travel, and other administrative logistics.
- Experience developing presentations, reports, and professional visual materials.
- Experience working with sensitive or confidential information and coordinating across multiple teams and levels of leadership.
Skills
- Executive organization, prioritization, and attention to detail
- Strong written and verbal communication
- Microsoft Office, including Excel, Outlook, Word, and PowerPoint
- Canva and visual presentation development
- Cross-functional coordination, discretion, and customer service

The expected California Pay Range for this position:
$72,384 - $78,562 USD
