Accounts Payable & Expense Report Executive / Analyst – US Shared Services

About the Role

As an Accounts Payable & Expense Report Executive / Analyst, you will play a key role in supporting our US operations by managing the end-to-end accounts payable and employee expense report processes from our India-based Shared Services Center. This position requires strong technical skills in financial tools like Bill.com and NetSuite, along with a detailed understanding of US accounting principles and global shared services delivery models.

What You'll Do (Key Responsibilities)

Accounts Payable

  • Process supplier invoices and credit notes in Bill.com and NetSuite with accuracy and timeliness.
  • Review invoices for proper coding, approvals, and documentation.
  • Handle end-to-end invoice-to-pay cycle including PO/non-PO invoices and recurring payments.
  • Ensure compliance with internal controls and US GAAP accounting standards.
  • Reconcile vendor statements and resolve discrepancies.
  • Manage payment runs and ensure timely execution in Bill.com.
  • Assist with month-end close, including accruals, AP aging, and reconciliations.

Expense Reports

  • Review and process employee expense reports via platforms such as Concur or Expensify.
  • Verify receipts, cost center allocations, and compliance with IRS and company travel policies.
  • Communicate with employees to address missing documentation or policy deviations.
  • Support timely reimbursements.

General / Shared Services Operations

  • Maintain and update vendor master data in NetSuite, including W-9/W-8 forms and TIN validation.
  • Assist in 1099 reporting and other compliance tasks.
  • Collaborate with the US Finance team for process improvement and automation initiatives.
  • Support audits by providing documentation and reconciliations as required.

Required Qualifications

  • Bachelor’s degree in Commerce, Accounting, or Finance.
  • 2–5 years of experience in Accounts Payable and Expense Report processing, ideally in a shared services environment supporting US entities.
  • Hands-on experience with Bill.com and NetSuite ERP.
  • Familiarity with US accounting practices, 1099 reporting, and vendor compliance (W-9/W-8).
  • Proficiency in Microsoft Excel and attention to detail.
  • Excellent communication and collaboration skills across time zones.

Preferred Skills

  • Experience with OCR tools or invoice automation software.
  • Familiarity with Concur, Expensify, or similar expense management platforms.
  • High level of accuracy and efficiency with large transaction volumes.
  • A continuous improvement mindset and openness to learning global finance processes.
