What You’ll Do
The Coordinator, Operations - Authentic Live will support the Operations team in the planning and execution of premium events and experiences around major sports and cultural moments worldwide. Reporting to the VP, Operations, this role provides essential administrative, organizational, and on-site support to ensure partner deliverables, production workflows, and hospitality programs are executed to the high standard expected of all Authentic Live experiences. The ideal candidate is detail-oriented, proactive, and excited to learn every side of the events landscape and will get hands-on experience across operations, account management, production, and guest experience with the ability to grow within a fast-paced, global organization.
What You’ll Be Working On
Account Management Support
- Assist with gathering brand materials and tracking approvals on creative assets and marketing materials for external partners and internal teams.
- Maintain and update master deliverables decks, timelines, and partner trackers.
- Schedule internal and external meetings, including partner-facing calls.
Operations & Production Support
- Attend internal and external production/operations meetings; capture detailed notes and distribute clear, actionable recap emails.
- Monitor task lists and follow up with teams to ensure deadlines and deliverables remain on schedule.
- Support creation of and maintain internal documents, trackers, and workflows to help scale operational efficiency across the team.
Onsite Event Support
- Provide onsite assistance for domestic and international events as needed around general event operations, VIP guest management, and partner deliverable tracking.
- Execute general event tasks, administrative responsibilities, and other duties as assigned.
- Ability to travel up to 20% as required by business priorities
Who You Are
- 1–2 years of experience in events, marketing, or operations in the sports and entertainment industry (internship experience acceptable).
- Strong organizational skills with excellent attention to detail and follow-through.
- Comfortable managing multiple projects simultaneously in a deadline-driven environment.
- Excellent written communication skills, particularly in note-taking and drafting follow-up emails.
- Ability to work onsite at events—including occasional nights, weekends, and travel.
- Highly proactive and solutions-oriented staying composed in a fast paced environment
- A strong communicator who enjoys collaboration across multiple teams.
- Curious, motivated, and eager to learn the full lifecycle of event production and account management.
Primary Location Salary Range: $65,000 - $75,000
