Administrative Specialist (Part-Time, Onsite – Lansdale, PA)
The Opportunity
CMI is seeking a part-time Administrative Specialist to support our Lansdale, PA office. This role is ideal for a friendly, organized professional who enjoys juggling a variety of administrative responsibilities and serving as a key support resource for employees and clients.
Key Responsibilities
- Provide general administrative and front-desk support, including handling incoming calls, mail, and shipments
- Maintain office organization and cleanliness; coordinate with facilities management
- Schedule meetings and coordinate catering
- Order and manage office supplies and equipment inventory
- Maintain timesheet information for assigned employees
- Create and distribute training cards and certificates
- Maintain company vehicles, appointments, and usage tracking
- Prepare and distribute outgoing reports
- Administer company equipment testing
- Facilitate and maintain client badges on a quarterly basis
- Edit and format documents as needed
- Order and distribute business cards
- Share internal communications, notifications, and employee recognitions
- Assist with employee travel arrangements (air, hotel, car rental)
- Provide support to Accounts Receivable with customer collections via email and phone
- Run occasional errands for supplies, meals, or equipment delivery
Qualifications
- 1–3 years of experience in an administrative or office support role
- Accounts Receivable experience preferred, but not required
- Experience with Deltek Vantagepoint is a plus
- Strong proficiency in Microsoft Office and Adobe products
- Excellent proofreading skills and attention to detail
- Highly organized with the ability to multitask and shift priorities
- Professional, approachable demeanor with strong interpersonal skills
- Ability to handle sensitive or difficult situations with professionalism
- Must be able to work onsite in Lansdale, PA, 3 days per week
