The Legal Secretary at Wells Call Injury Lawyers is pivotal in ensuring that our legal processes run smoothly and that our attorneys can focus on delivering exceptional legal services. This role supports the lead attorney while also providing flexible, floating support across the broader legal team as needed. It is a strategic hire designed to support firm growth and expand capacity ahead of adding additional attorneys.
The position is designed for someone who can maintain organization across a high-volume caseload (100+ active cases per attorney) and enhance the client experience through consistent communication and attention to detail. By supporting our mission of advocating powerfully for our clients, this role contributes directly to positive outcomes and firm growth. This is a high-execution, high-volume role where precision, organization, and follow-through are critical to success.
What you’ll do:
- Case Management: Oversee and maintain the progression of personal injury case files to ensure timely and accurate handling. Use Filevine (or similar case management system) to track and manage case activity.
- Client Communication: Serve as the primary point of contact for clients, ensuring calls are returned promptly and clients are proactively updated at least every 30 days.
- Deadline Management: Track and manage all deadlines with zero-error expectation, ensuring no statutes or critical deadlines are ever missed.
- Document Handling: Accurately file necessary legal documents and manage firm correspondence efficiently.
- Financial Support: Process disbursements, manage checks, and ensure accurate balancing of client trust accounts so all parties are properly paid.
- Intake Support: Assist with client intake during peak times to maintain a seamless client onboarding experience.
What we’re looking for:
- Legal Experience: Prior experience as a legal secretary, paralegal, or in a similar role is essential.
- Bilingual Skills: Bilingual (Spanish/English) is required and a critical component of success in this role.
- Organizational Skills: Exceptional capability to manage multiple cases and maintain detailed records without errors.
- Client Focus: Strong client service orientation with compassion for clients experiencing difficult legal situations.
- Tech Proficiency: Openness to learning and using legal tech and AI-based tools for task management.
- Team Collaboration: Ability to work collaboratively with attorneys and staff, ensuring harmonized operations.
