About the Opportunity:

Sales Assistant to Director  

  • David Zwirner seeks a full-time Sales Assistant to work alongside one of our Directors. 
  • Superior writing skills, the ability to manage time and meet deadlines, and a thorough working knowledge of contemporary art are required. This position will involve significant contact with artists and long-time clients and other art industry professionals, therefore discretion and poise are essential.

What you’ll do:

  • Provide administrative support to Sales Directors, while strategically managing their time and travel. 
  • Support Directors on sales offers and pre-sale client outreach, and following through on post-sale client servicing. 
  • Organize Directors' schedule, travel & visa arrangements, expenses, and tracking of internal and external meetings. 
  • Collection and prompt filing of new client contacts. 
  • Communicate on behalf of Directors on matters relating to sales and client servicing. 
  • Greeting visitors and interfacing with clients at Front Desk, as required. 
  • Responsible for sending and tracking of client catalogue mailings and gifting. 
  • Assist Directors in creating and managing guest lists for client dinners and events. 
  • Support Directors on Client Development and Artist research projects.
  • Support gallery exhibitions and art fair planning, as required.

Pre-Sales:

  • Oversee the preparation and delivery of sales packets and dossiers. 
  • Assist Directors in sending offers and previews for art fairs and exhibitions, work with Marketing & Research departments to obtain all relevant documentation – e.g. images, fact sheets, provenance, catalogues, etc.  

Post-Sales:

  • Assist Directors in generating invoices, sending “Sold” and “Reserve” emails. 
  • Assist with credit card payments and digital payment for artwork purchases (with Finance Manager).
  • Support Directors on post-sales follow up (i.e. payment and delivery); coordinate closely with Finance and with Registration team on shipping & logistics to ensure smooth communication between gallery and client, and prompt release of sold works. 

What we would like you to have:

  • 2-4 years in an assistant or administrative support role at a gallery. 
  • Fluency in English, Mandarin, and Cantonese 
  • Valid HKID or employment visa
  • BA or MA in Art History or a related field is a plus 
  • Experience supporting senior leadership with calendar management and travel itinerary. 
  • Strong multi-tasking skills and outstanding collaboration, teamwork and people skills. 
  • Strong written and verbal communication skills.
  • Detail oriented with experience in managing upwards.
  • Passion for and knowledge of contemporary art.
