About the Opportunity:
Head Registrar
What you'll do:
- Supervise and manage Assistant Registrar
- Point of contact for comped cost requests
- Responsible for understanding the gallery’s insurance policy, ensuring compliance, and providing total insurable value per location upon policy review.
- Exhibition logistics management: discuss shipping needs with departments, provide shipping and crating budget and timelines, prepare/oversee both internal and client condition reports
Inventory Management
- Ensure artworks are fully and accurately processed on receipt regarding physical properties and packing: dimensions and inscriptions confirmed; frame labels and Certificate of Authenticity labels applied or stored appropriately; verso images shared; packing assessed.
- Create and maintain inventory control processes and protocols
- Determine and coordinate appropriate packing required for each type of artwork
- Inventory and storage management: provide cost analysis and spearhead movements out for languishing sold works, PC, etc.
- Guarantee costs (production, framing, comps, crating, etc) are properly allocated to artworks in DZB
Condition Reporting
- Coordinate and undertake condition reporting for high value or sensitive DZL/DZP incoming/outgoing inventory, Art Fairs, and exhibitions as required
- Coordinate consultations and checks by conservators, initiating conservation where necessary
- Work closely with Registration to ensure condition reports are uploaded and accessible
Shipping
- Manage consolidated international shipments of inventory: setting list deadlines and collection dates, directing inventory and art handling teams and external vendors through to completion. Point of contact for consol additions from sales for inter-gallery transfer requests.
- Manage and track consol shipment budgets
- Manage and track shuttle shipments between DZP and DZL galleries and oversee budget
- Manage sold client shipping, including obtaining estimates and Certificates of Insurance, coordinating with clients for their needs, advising clients and relaying all information to sales team
- Work closely with NY, UK, and Paris sales team to coordinate International Shipments of Sold works from Non-US Art Fairs to clients worldwide
- Ensure certificates, manuals, and installation information is provided to clients or consignees
- Supervise Assistant Registrar + Technicians on storage and local movement of artworks
- Serve as courier for important loans and high-value works as and when needed
- Process and update locations of art; organise and file release and receiving paperwork from art handling
TA / Customs
- First point of contact for global galleries regarding import, export, and VAT considerations in close coordination with Director of Finance (DZP)
- Manage DZDB Customs data entry for artwork imports/exports onto DZL TA
- Ensures Registrars facilitate all customs data entry into the DZDB and DZL server as required
- Manage customs account and prepare for future audit
- Create and maintain customs control processes and protocols
Accounting
- Submit information to Director of Finance for issuance of invoices
- Act as first point of contact for shipping and storage invoices working closely with Director of Finance to review costs.

- Strong experience in a similar role for about 5-10 years
- English full professional proficiency
- The ideal candidate will be personable, nimble, shrewd, organised, efficient, and will display an overall positive/collaborative attitude
