Your role as Facilities Specialist

Reporting to the Manager of Talent & Culture Operations, you will contribute to creating a seamless and efficient work environment by overseeing office operations, managing resources, and ensuring the office is well-maintained. As the Facilities Specialist, you will be responsible for high-level decisions that shape the overall success of office operations and contribute to the strategic growth of the organization. You will play a key role in managing our new office space and supporting its opening. This role requires you to be in the office 5 days a week to ensure the office functions smoothly and and efficiently.

What you’ll be doing: 

  • Office Operations & Maintenance: Managing daily office operations to ensure efficiency, maintaining a well-organized and safe workspace, and overseeing the upkeep of common areas
  • Budget & Vendor Management: Assisting with budget tracking and procurement of supplies while fostering strong relationships with vendors, including cleaning services, IT support, and suppliers, to ensure consistent and high-quality service delivery
  • Policy & Compliance: Aiding in the development and enforcement of office policies, ensuring compliance with health and safety regulations, and supporting emergency procedures
  • Event & Meeting Coordination: Organizing internal meetings and company events, handling logistics to ensure smooth execution, and contributing to revitalizing the in-office atmosphere
  • Technical & Administrative Support:  Providing technical support for office tools, streamlining administrative processes as the team grows, and ensuring the office remains a desirable place to work
  • Employee & Guest Experience: Greeting guests and employees, ensuring a warm and professional experience, and assisting with various company-wide initiatives and activities

We'd love to hear from you if you have:

  • 4+ years of experience in a similar role, showcasing a proven track record of effectively managing office operations
  • Exceptional written and verbal communication skills in both English and French, ensuring clear and professional interactions across all levels of the organization
  • Tech-savvy, with proficiency in Google Suite, Zoom Rooms, and conference room systems, enabling smooth operation of office technology
  • Highly proactive and initiative-driven, with the ability to anticipate needs and address challenges before they arise
  • Outstanding organizational and time management skills, with a meticulous attention to detail, ensuring tasks are completed efficiently and accurately
  • Personable and positive attitude, with strong social skills and a demonstrated ability to build trusted relationships with team members, fostering a collaborative and supportive office environment
  • Required to be in the office 5 days a week, ensuring consistent presence for smooth office operations and effective management

Please note that as we serve customers across Canada, bilingualism is essential for this position. You may be required to communicate in French and English.
