Position Summary

The Milk Accounting & Pooling Specialist is responsible for managing the successful completion of the entire Producer Payroll, Plant Billing, Milk Purchase, and Pooling processes to ensure the client’s needs are met and that the payments, invoicing, reporting, balancing and data entry processes are completed accurately and timely. This position will also be responsible for and oversee communication relating to these activities with all assigned clients.  Additionally, this role also serves on the Tier II Payroll Support Team.

Key Responsibilities

  • Execute the Ever.Ag client services payrolls (on-prem or SaaS) accurately and in a timely manner
  • Data management associated with milk/component weights, resolution, or modifications within the Ever.Ag operating systems
  • Perform due diligence processes to ensure that data entry and processing functions were accurately performed
  • Validate the payments have been processed according to the Federal Order regulations, including but not limited to checking formulas, pricing, labs, and milk/component weights while maintaining records for audit purposes
  • Identify producer payroll issues or areas for improvement and conduct the necessary research to recommend and document solutions; contribute as a Tier II payroll support resource for all Company clients
  • Execute producer and/or client change requests associated with the Producer Payroll service
  • Support management in resolving client disputes and issues relating specifically to the Producer Payroll service function
  • Be the lead in communicating with all parties involved in the Producer Payroll process (Producers, Assignees, Labs, Field Reps, Managers)
  • Analyze, develop, and execute pooling strategies for pooling consulting clients and work with clients to translate pooling decisions to pool reports
  • Participate in pooling strategy discussions with customers and internal team
  • Support sales team in understanding of pooling consulting offering and participate in sales calls to win new business
  • Work with Federal Order Marketing Administrators on behalf of clients as needed
  • Work to establish and maintain pooling forecast models for clients as needed
  • Complete importing/data entry of manifests into the Ever.Ag system as needed
  • Import and/or enter labs received from outside sources
  • Complete the balancing portion of the payroll process
  • Complete plant billing activities
  • Participate in customer account relationship development activities (may require travel)
  • Assist with software implementations as required
  • Identify producer payroll issues or areas for improvement and conduct the necessary research to recommend solutions
  • Develop documentation and SOPs for payroll processes
  • Develop internal and external training documents as needed for payroll processes
  • Interface with cross-department teams for problem-solving/troubleshooting (i.e., tech team, customer service, account managers)
  • Analytical expertise to troubleshoot issues in processes and procedures
  • Participate in gathering data and presenting KPIs to Managed Services clients
  • Other duties as assigned

Qualifications

  • Bachelor’s degree (B. S. or B. A.) or equivalent in business, finance, or accounting
  • A minimum of 4 years’ experience within the Federal Order milk pooling and payment process, experience with Milk Payroll systems, or equivalent combination of education and experience
  • Knowledge of Microsoft Office Suite and internet browsers, with Advanced Excel knowledge and an alphanumeric KPH ten-key of 10K or higher strongly recommended.
  • Able to work on-call (weekends, evening, holidays)

  • Accounting Skills: Ability to utilize general accounting concepts used in the Federal Order milk marketing system and the ability to troubleshoot inaccuracies during the processes and communicate such effectively to management, clients, and regulatory agencies. Ability to understand and complete simple to complex mathematical formulas. Maintain payroll information by collecting, calculating, and entering data.
  • Communication Ability: Ability to read, analyze, and interpret payroll reporting and legal documents. Ability to present a narrative description of numerical data effectively. Ability to respond clearly and informatively to common inquiries or complaints from customers, regulatory agencies, or business community members. Can apply effective interpersonal skills to provide service to clients and fellow co-workers. Ability to understand the objectives and mission of the department and work unit. Ability to work within tight deadlines and complete work in a timely manner.
  • Reasoning Ability: Have an analytical problem-solving thought process to define problems, collect data, establish facts, and draw valid conclusions. Ability to see and recognize patterns in data and trace or reconstruct transactions. Ability to take independent actions using intuition and experience to complement data. Ability to design workflows and procedures. Can adapt to changes in the work environment. Ability to differentiate areas of authority between Client and Payroll Service personnel. Ability to look for ways to improve process and quality.
