HR Coordinator

Overview

As an HR Coordinator at Fanatics Collectibles, you will provide critical operational and administrative support to the Human Resources team while serving as a key resource for employees across the organization. The ideal candidate is organized, proactive, detail-oriented, and comfortable leveraging AI tools to improve processes, create documentation, and enhance the employee experience. This role will support a wide range of HR functions including employee inquiries, leave administration, timekeeping support, contractor conversions, HR systems maintenance, and process documentation. The successful candidate will help establish a radically easy, compliant, and scalable work environment for all team members. This position is based in New York, NY.

Responsibilities

  • Support and work in close partnership with the HR team.
  • Ensure security, integrity and confidentiality of internal data.
  • Act as one point of contact for varied team member questions and concerns including but not limited to payroll, benefits, and leaves of absence.
  • Serve as a first-line HR resource for team members by responding to and triaging HR-related questions, concerns, and requests, ensuring timely resolution or escalation to appropriate HR partners.
  • Must be knowledgeable and responsible for the administration of company policies, procedures and programs.
  • Maintain team member-related databases. Prepare and analyze reports that are necessary to carry out the functions of the department and the company.
  • Interpret and explain human resources policies, procedures, and standards.
  • Partner effectively with HR specialist groups including Learning & Development, Talent Acquisition, HRIS, Benefits, and Payroll to ensure team member inquiries are answered and/or properly routed in a timely manner.
  • Update and maintain interdepartmental resources and data to ensure compliance and accurate records within company systems.
  • Be responsible for HR team functions related to personnel files and HRIS actions, including but not limited to supporting new hire and termination processes, tracking progressive discipline processes, and enforcing compliance with HR legal standards.
  • Coordinate and support leave of absence administration, including tracking leave requests, maintaining documentation, and partnering with internal and external stakeholders to ensure compliance and a positive team member experience.
  • Assist with timekeeping and payroll-related processes, including reviewing and resolving timecard discrepancies, partnering with managers and Payroll to ensure accurate reporting and timely approvals.
  • Partner closely with Talent Acquisition, Hiring Managers, and HR Business Partners to oversee and execute contractor-to-employee conversion processes, ensuring a seamless onboarding experience and accurate system updates.
  • Leverage AI-powered tools and technologies to improve efficiency, streamline administrative processes, and enhance HR service delivery.
  • Create and maintain Quick Reference Guides (QRGs), process documentation, and training materials using AI tools and other digital resources.
  • Maintain and continuously improve HR-related content and knowledge management resources, including Notion pages, internal FAQs, and team documentation.
  • Document, evaluate, and recommend improvements to HR processes and workflows to support operational excellence and scalability.
  • Assist in identifying opportunities for automation and process optimization across HR operations and employee lifecycle activities.
  • Perform other tasks as needed such as assisting with department-wide initiatives and events.

Qualifications

  • Bachelor’s degree or equivalent experience preferred.
  • 1–3 years of experience in Human Resources, People Operations, Employee Services, HR Coordination, or a related function.
  • Preferred knowledge of HR systems, HR management practices and procedures, compliance rules and employment regulations.
  • Demonstrated proficiency using AI tools and technologies (e.g., ChatGPT, Gemini, Copilot, or similar platforms) to improve productivity, create documentation, develop training resources, and support operational processes.
  • Experience creating and maintaining process documentation, knowledge bases, SOPs, Quick Reference Guides (QRGs), or similar resources.
  • Familiarity with leave administration, timekeeping/timecard management, payroll coordination, and employee lifecycle processes is preferred.
  • Excellent interpersonal skills and ability to work as part of a team.
  • Strong problem-solving skills with the ability to independently manage multiple priorities and identify process improvement opportunities.
  • Excellent written communication skills with the ability to create clear, user-friendly documentation and training materials.
  • Should be well-organized, have great time management skills and have ability to multi-task within a dynamic, start-up culture.
  • Can maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
  • Thrives in an entrepreneurial, hyper growth environment where priorities evolve regularly and decisions are made quickly; possesses a 'let’s build it' mindset.
  • Must be open to occasional travel to Fanatics offices and other locations for events, meetings, and team building activities.

The salary range represents base pay only and does not include short-term or long-term incentive compensation.  This salary range is specific to New York City and may not be applicable to other locations.  When determining base pay, as part of a final compensation package, we consider several factors such as location, experience, qualifications, and training.
