The Role 

This position is responsible for the day-to-day operations of our office, ensuring seamless scheduling, communication, and event coordination. You'll be the backbone of our office operations while providing crucial support for our client and prospecting events. The ideal candidate is detail-oriented, tech-savvy, and comfortable juggling multiple tasks while maintaining professionalism and efficiency.

In this role, you will be working directly with Darwin Wealth Management, a team operating under the Farther umbrella. You'll support Darwin's specialized focus on alternative investments for high-net-worth clients while benefiting from Farther's resources, technology platform, and professional growth opportunities. This position offers a unique opportunity to work within an established wealth management practice while being part of an innovative, growing organization.

This full-time position requires on-site presence at our Tampa office Monday through Friday. Additionally, the role involves coordinating and attending client dinner seminars approximately four times monthly, requiring occasional evening availability (6-9pm).

Your Impact 

Office Administration

  • Open and close the office daily
  • Answer and route incoming calls, review voicemails, and respond to text messages
  • Greet guests and set up meetings (coffee, water, etc.)
  • Schedule meetings from the scheduling queue
  • Handle all USPS and UPS mailings
  • Order office supplies, groceries, coffee, and orchids
  • Assist with computer setup, IT troubleshooting, and ADP onboarding
  • Upload blog posts to the website and send email notifications
  • Perform banking tasks and small projects for managing partners

Event Coordination & Client Engagement

  • Execute client events: book venues, manage registrations, print name tags, prepare materials, and oversee full event execution
  • Maintain digital records by uploading event files (checks, sign-in sheets, PowerPoints) to files.com
  • Process and track First Trust marketing reimbursement requests
  • Manage communication systems: create email/mail lists, registration forms, and conduct reminder calls
  • Coordinate client gifting program (welcome, anniversary, and sympathy gifts)

  • Prior experience in office administration, event coordination, or marketing support
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to manage multiple tasks and prioritize effectively
  • Tech-savvy with experience using scheduling software, CRM, and basic IT troubleshooting
  • Professional demeanor with strong interpersonal skills
  • Ability to work independently and as part of a team
