The Role
We're seeking an experienced Office Manager to oversee the operations of our Irving, Texas office. You'll lead the day-to-day operations that create a welcoming, organized workplace for our team and visitors while supporting the business functions that help our advisors focus on what they do best.
Your Impact
- Manage daily office operations: turn on TVs with CNBC/market news, stock printers with paper and toner, maintain clean common areas and conference rooms
- Order supplies and keep the kitchen and office fully stocked with essentials from approved vendors
- Handle communications: receive, sort, scan, and route mail; prepare outgoing shipments; answer and route incoming phone calls
- Coordinate building services: submit maintenance, temperature, and space reservation requests; distribute property management announcements
- Manage employee access: handle badge and parking access for employees, new hires, terminations, and visitors; maintain updated seating charts
- Support new hires: coordinate workstation setup (monitors, keyboards, docking stations) with IT; provide warm, professional guest welcome
- Partner on events: collaborate with Culture Committee on celebrations and initiatives; support Advisor Recruiting with Discovery Days logistics and other events
- Facilitate projects: work with teams and vendors on office build-outs and space planning; assist with travel booking for visiting team members
- Provide administrative support: serve as primary office contact, track expenses, support receipt collection, and contribute to special projects
The Ideal Match
- 5+ years of office management, operations, or workplace coordination experience
- Proven ability to manage multiple priorities and lead office operations in a fast-paced environment
- Excellent written and verbal communication skills with strong leadership and interpersonal abilities
- Advanced proficiency with Google Workspace, Slack, and project management platforms
- Strategic mindset with experience managing vendor relationships and operational processes
