Payroll Administrator

Boston Office

Foley Hoag seeks a detail-oriented and experienced Payroll Administrator with hands-on experience using UKG Pro for our Boston office. The Payroll Administrator will be an integral part of a small team responsible for ensuring accurate and timely processing of payrolls, maintaining compliance with all relevant regulations, and providing exceptional support to employees. The Payroll Administrator is a member of the Human Resources team and will serve as a liaison to Finance, Accounting, and other departments.  

Responsibilities

  • Process end-to-end payroll for the biweekly and semi-monthly payrolls using UKG Pro, ensuring accuracy and compliance with firm policies and statutory requirements.  
  • Review and verify timesheets in UKG WFM (Workforce Management).  
  • Review and process LOAs ensuring that calculations are accurate, and earnings are properly coded.  Maintain complete records of all leave calculations.  
  • Respond to employee inquiries regarding payroll, deductions, and other related matters in a timely and professional manner. 
  • Create data file for upload to accounting system to post journal entries for each payroll. 
  • Review general ledger accounts on a regular basis and reconcile payroll related entries. 
  • Assist in the regular preparation of the monthly payroll.  Ensure a full working knowledge of the monthly payroll.  
  • Respond to inquiries from the Finance, Accounting, Tax, and Data Analytics teams; run reports and prepare data as requested. 
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices. 
  • Stay up to date with changes in payroll regulations and UKG system updates. 
  • Support year-end processing, including W-2 preparation, tax filings, and reconciliations. 
  • Assist with audits and provide necessary documentation to auditors. 
  • Collaborate with other members of the Human Resources team to address discrepancies and ensure operational efficiencies. 
  • Assist with other tasks as assigned.  

Qualifications

  • Minimum of 4 years of experience processing payroll in a professional services organization. 
  • Knowledge of payroll practices and tax regulations pertaining to payroll. 
  • Ability to complete tasks to a high standard with a keen eye for accuracy. 
  • Proficiency with UKG Pro Payroll software. 
  • Intermediate Excel skills. 
  • Ability to maintain confidentiality regarding sensitive information. 
  • Must possess strong verbal and written communication skills. 
  • Bachelor’s degree, or equivalent experience. 
  • Certified Payroll Professional (CPP) certification is a plus but not required. 

Compensation range is $95,000 to $115,000 commensurate with related experience and qualification. The salary of the candidate selected for this role will be set based on a variety of factors, including but not limited to internal equity, experience, specialty, and training. The above salary range (or hiring range) represents the firm's reasonable estimate of the range of possible compensation at the time of posting.
