Position Summary:
As an Administrative Assistant, you'll play a crucial role in keeping our leadership team organized, prepared, and focused. You’ll manage scheduling, communications, and operational tasks while being a trusted gatekeeper and problem-solver. This is an in-office role that thrives on high energy, flexibility, and a strong sense of ownership.
Key Responsibilities:
- Manage and optimize calendars, schedule meetings, and coordinate internal and external appointments
- Act as the point of contact between executives and stakeholders, managing communications with discretion and professionalism
- Prepare agendas, take detailed meeting notes, and follow up on action items
- Coordinate travel arrangements, accommodations, and itineraries
- Assist with office operations, vendor management, and event planning (e.g. team offsites, client meetings). Supporting onsite events for the sales and marketing team.
- Support special projects and ad hoc tasks that help the executive team operate more efficiently
- Anticipate the needs of leadership and take initiative to solve problems before they arise
Qualifications:
- 1-2+ years of experience as an Administrative Assistant, Office Manager, or similar role (experience in a startup or fast-paced environment preferred)
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- High degree of professionalism and discretion with confidential information
- Tech-savvy: comfortable with Google Workspace, Slack, Notion, Zoom, and productivity tools
- Ability to work full-time, in-office, with occasional flexibility for early/late meetings or events

California Pay Range
