Job Summary:
The Clerical Support position provides foundational clerical and administrative support services to assigned Court Services and Offender Supervision Agency (CSOSA) offices. The team member follows clearly detailed procedures to complete repetitive clerical tasks in a prescribed sequence, exercising judgment in selecting the proper procedure for each task. This role supports efficient office operations through accurate document processing, data entry, file management, and operation of office equipment.
Responsibilities and Duties:
- Follow clearly detailed procedures to complete repetitive clerical tasks in a prescribed or slightly varied sequence.
- Code and file documents in extensive alphabetical, numerical, or chronological filing systems accurately.
- Perform simple posting to individual accounts and departmental records.
- Open, sort, and distribute incoming mail and correspondence.
- Calculate and post charges to departmental accounts using provided worksheets or templates.
- Operate standard office equipment including photocopiers, facsimile machines, multi-line phone and voicemail systems, mailing machines, and basic computer programs.
- Perform basic data entry into agency databases, spreadsheets, and document management systems.
- Assist with preparation, reproduction, and distribution of documents, reports, and forms.
- Maintain supply inventories and submit requisitions for replenishment as needed.
- Apply judgment in choosing the proper procedure for each clerical task encountered.
- Support other administrative functions as directed by the COR.
Qualifications and Skills:
- Minimum education requirements: High school diploma or equivalent required
- Demonstrated experience performing clerical or administrative support duties.
- Ability to follow detailed, step-by-step procedures accurately and consistently.
- Basic proficiency with Microsoft Office applications (Word, Excel, Outlook) and standard office equipment.
- Strong attention to detail and accuracy in data entry and document handling.
- Ability to maintain organized filing systems and locate documents efficiently.
- Dependable, punctual, and able to handle repetitive tasks with consistent quality.
- Experience in a federal agency or government contractor clerical environment.
- Familiarity with electronic document management systems.
- Experience with records management and retention schedules.
