Position Overview
The Administrative Coordinator provides administrative support in a fast-paced environment by completing multiple reception and administrative tasks with competing deadlines, using extreme attention to detail and excellent communication skills. Anticipates needs of team members and resolves administrative issues with calm and poised prioritization.
Key Responsibilities
- Project a positive and hospitable image of McAdams to internal and external clients at all times and provide outstanding customer service by making clients feel welcomed and respected
- Greet colleagues, clients and vendors, assist with client meetings, schedule conference rooms and troubleshoot conference room technology issues
- Oversee building maintenance for the reception and common areas; maintain a professional and clean appearance in these areas
- Monitor and maintain office supplies, kitchen supplies, postage supplies
- Provide administrative support to Leadership Team, Executive Assistant, and fellow Administrative Services Team
- Coordinate with Marketing, Engagement, HR and other teams on employee events
- Manage incoming and outgoing parcels
- Assist with Lunch and Learn orders and prep
- Maintain conference room calendars
- Perform clerical duties and maintain operating knowledge of office printing and scanning equipment
- Scan and copy plans using large format printers; assemble hard copy and digital submittals
- Type, proofread and edit forms, letters, transmittals, proposals, change orders, response to comments and other business correspondence as required
- Complete all other duties as assigned
Skills + Experience
- High school diploma
- Associates degree OR relevant administrative work experience preferred
- Previous experience in a professional office setting preferred
- Advanced knowledge and experience with MS Office Suite
- Outstanding organizational and oral and written communication skills

- Work will primarily be in an office setting with limited opportunities to be exposed to adverse environmental conditions.

- Must have visual acuity for viewing a computer screen, the ability to talk, hear and sit for extended periods of time.
- Must be able to carry, lift and push/pull up to 5 pounds frequently and up to 30 pounds occasionally. Additional physical duties may be required as necessary.
