About the Position:

The Assistant to Detox and the Medical Director is responsible for organizing the Medical Programs and Psychiatric administrative functions. The Assistant will support day-to-day operations by performing administrative tasks and ensuring high-quality customer service. The Assistant will perform various tasks daily with the ability to multitask and prioritize.

Schedule:

Monday - Friday: 8:00 am - 4:30 pm

Your Role:

  • Personal assistance to Medical Director, Detox and Psychiatry departments.
  • Manage daily workflow of Medical Director’s calendar; including scheduling appointments, maintaining calendars, department and group meetings, expense reports, files, etc. 
  • Screens, reviews, and flags pertinent and essential emails.
  • Gathers and Organizes Monthly Metrics and Reports for Detox, Medical and Psychiatry departments; Submits Agenda and Metrics before Monthly Check-in Meetings, Monthly Summit Meeting, and bi-monthly Detox Leadership Meeting.
  • Coordinate with schedulers the clients’ appointments for Detox, Residential and Outpatient Services, as related to Psychiatry and Medical.
  • Oversees and determines coverage plan for Medical staff PTO and callouts.
  • As needed, input medical documentation in client chart following any outside appointment or hospital visit.
  • Completes Medication Assisted Treatment audits for Medical Director and Director of Detox Operations
  • Completes weekly Medication Management census tracking and corresponding administrative audits.
  • Provides coverage for the MATs Administrative Supervisor as needed.
  • Attend Detox medical rounds with the multidisciplinary team.
  • Coordinated onboarding for new hire psychiatric providers and students/interns.
  • Conducts daily/weekly audits related to appointments.
  • Completes monthly on-call schedule for per diem medical APRN coverage.
  • Completes monthly chart audits for Medical and Psychiatric APRN documentation.
  • Completes payroll and PTO approval for Medical, Psychiatrics, and Detox staff.
  • Reviews monthly Concur reports for psychiatric providers and forwards to the Medical Director for approval and/or adjustments.
  • Reviews weekly caseloads and assignments for psychiatry team.
  • Assists the Medical Services Coordinator with Prior Authorization’s and insurance overrides for prescribed and specialty medications.
  • Handles all FMLA/Disability paperwork and requested letters.
  • Communicates with external vendors (i.e. Vivitrol and Sublocade) as necessary.
  • Assists the Detox department with recruitment efforts, including potential candidate application review and phone screens.
  • Monitor valid licensures for all medical, psychiatric, and nursing staff in Detox.
  • Assist the Medical Director and Director of Detox Operations with miscellaneous project within the Detox department.

Qualifications:

  • Bachelor’s Degree, or equivalent education – preferred
  • Minimum of 1-year administrative support experience in a medical setting – preferred
  • Minimum 1-year experience/knowledge in Substance Abuse treatment field – preferred
  • Minimum 1-year experience/knowledge in specialty medication Prior Authorizations – preferred
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, Teams & PowerPoint) – required

Compensation:

The base rate of pay for this position is $23.00 to $26.44 per hour. Actual pay is determined based on a number of job-related factors including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, performance, and working conditions.
