
Workplace Coordinator

The Workplace Coordinator is responsible for ensuring the smooth operation of day-to-day workplace services and activities that contribute to a productive, organized, and positive work environment. This role supports office operations, calendar management, vendor coordination, and employee experience initiatives. The Workplace Coordinator will provide daily administrative and clerical support vital to the office. This includes managing multiple tasks, coordinating calendars, handling office supplies/inventory, leading the cafe framework, maintaining monthly budgets, facilitating employee welfare, guest services, and problem-solving workplace issues.
The Workplace team is constantly pushing the bar for programs that engage people at work and create functional and inspiring spaces. We care about people and the experience of all SoundClouders.
This is an on-site position in our New York office, Monday-Friday from 8:30 AM - 4:30 PM ET.
Key Responsibilities:
- Greet and assist visitors, manage front desk and reception duties
- Ensure the workplace is clean, safe, and well-stocked with necessary supplies (cafe, office, etc.)
- Prepare the office each morning through café set-up and general readiness checks to ensure a welcoming, efficient environment
- Coordinate with vendors and service providers (cleaning crews, maintenance, office supply vendors)
- Manage incoming and outgoing mail, packages, and deliveries
- Support office moves, space planning, and seating arrangements
- Serve as a point of contact for facilities-related issues; report and follow up on maintenance requests
- Assist with in-office events, team meetings, on-sites, or company-wide gatherings
- Monitor office inventory and reorder supplies as needed
- Collaborate with onboarding new employees with workspace setup/workplace tour
- Help implement environmental policies and procedures
- Facilitating communication through departments to ensure accurate flow of information
- Desire to promote teamwork and seamless collaboration with team members to ensure office cohesion and productivity
- Ability to work after-hours events a few times per quarter
Experience and Background:
- 1–2+ years of experience in office administration, facilities, or workplace coordination
- Associate or bachelor's degree
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- Proficient in Google Workspace and similar productivity tools
- Friendly, approachable, and proactive attitude
The salary range for this role is $65,000 - $70,000 annually. The final salary offered will be determined based on relative experience, skills, internal equity, and location. We also offer a generous total rewards program - read more about additional benefits and perks below!
