Job Title: Office Manager
Work Location: USAG Miami – Doral, FL
Labor Category: Exempt
Clearance Level: Secret

Annual Salary: $70,000
Scope of Work:
The primary purpose of this position is to oversee the daily administrative and business operations supporting the USAG Miami FSS contract. The Office Manager provides leadership for office administration, financial and contract support, procurement, and human resources activities to ensure efficient operations and contract compliance.
Responsibilities:
- Provide day-to-day oversight of office administrative functions supporting contract operations.
- Coordinate with Corporate Finance to support project accounting activities, including accounts payable, accounts receivable, purchase orders, payroll support, and financial reporting.
- Prepare and submit monthly customer invoices in accordance with contract requirements.
- Process vendor invoices and purchase orders while maintaining accurate financial records.
- Maintain project documentation, contract modifications, deliverables, and subcontractor records.
- Coordinate procurement of office supplies, equipment, and other operational needs.
- Assist management with employee onboarding, offboarding, personnel documentation, badging coordination, and other HR administrative activities.
- Support weekly payroll and timekeeping processes by assisting employees and supervisors with timesheet administration.
- Maintain project logs, files, inventories, and administrative records in accordance with company and Government requirements.
- Coordinate visitor access, interviews, meetings, and administrative scheduling.
- Analyze office process improvement to eliminate waste and improving speed to increase productions, efficiency, and effectiveness.
- Provide exceptional customer service by responding to employee, customer, and subcontractor inquiries in a professional and timely manner.
- Prepare reports, correspondence, spreadsheets, and presentations utilizing Microsoft Office applications.
- Maintain confidentiality of financial, personnel, and contract-related information.
- Serve as an administrative liaison between the project site and Corporate departments, including Human Resources, Finance, Payroll, Contracts, and Procurement.
- Ensure compliance with company policies, training, contract requirements, and applicable regulations.
- Adhere to company policies, procedures, and safety regulations.
- Performs other duties as assigned.
Requirements:
- Bachelor's degree in Business Administration, Accounting, Finance, Management, or a related field preferred.
- Minimum of three (3) years of progressively responsible experience in office management, business administration, accounting, contract administration, or a related administrative role.
- Experience supporting Government contracts preferred.
- Working knowledge of accounting principles, accounts payable, accounts receivable, purchase orders, payroll support, and financial recordkeeping.
- Strong organizational, analytical, and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Experience with Costpoint, Maximo, or similar enterprise business systems preferred.
- Excellent written and verbal communication skills.
- Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Ability to work independently and collaboratively with project staff, Corporate departments, Government personnel, and subcontractors.
- Must be able to obtain and maintain a Secret security clearance.
- Must possess and maintain a valid state driver’s license and a safe driving record, in accordance with company policy, to operate vehicles or equipment as required for the position.
Physical Demands / Work Environment:
- Work is primarily performed in an office environment requiring prolonged periods of sitting, standing, walking, and frequent use of a computer, keyboard, telephone, and other standard office equipment.
- Must be able to occasionally lift and carry office materials and supplies weighing up to 25 pounds.
- Must possess sufficient visual acuity to review documents, operate a computer, and perform administrative duties.
- Must be able to communicate effectively in person, by telephone, and electronically.
- Must be able to work on-call, alternate, and extended shift schedules when necessary to meet mission requirements, including evenings, weekends, and holidays.
US Pay Range
$70,000 - $70,000 USD
