We are seeking a vibrant and charismatic Office Manager with experience in interacting with a diverse range of individuals from frontline employees to executive visitors and are skilled in hosting polished events and welcoming special guests.

 What you'll do

Office Administration

  • Supports the company by maintaining office operations and procedures, managing correspondence, reviewing and/or preparing supply requisitions, mail and shipping services, and providing general support to employees, online communications, callers, and visitors.
  • Greet visitors, complete sign-in process and security requirements (distribute and log key cards and visitor badges, etc. Provide visitor(s) & service technician(s) escort per security procedures.
  • Answer and respond professionally to telephone calls, emails, and other critical office communications. Runs errands as needed, making wise use of time and resources.
  • Manage inventory of office supplies, employee health supplies, cleaning and sanitizing supplies, company snacks, drinks, breakroom supplies, etc.
  • Keeps management informed by reviewing and analyzing reports, summarizing information and daily activities, and identifying trends.
  • Monitor the office and site conditions in partnership with the Facilities Department and arrange necessary maintenance and repairs as required.
  • Remain updated on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals, and reviewing publications.
  • Assist the Finance Department with receiving as necessary.

Event Planning

  • Actively plan, coordinate, and execute company workshops, events, parties, and celebrations including larger on-site meetings and workshops, site-specific, corporate, or off-site activities that support employee engagement, and hosting external visitors and special guests.

 

What you’ll need to Succeed:

  • Bachelor’s degree in business administration or related discipline and 2+ years of experience as an Office Manager or equivalent OR 10+ years of experience as an Office Manager or equivalent in a multi-faceted professional office providing service to internal and external customers.
  • Knowledge of office management responsibilities, systems and procedures; accounting, data and administrative management practices and procedures.
  • Demonstrated ability to conduct important work under minimal supervision and with latitude for independent judgment.
  • Ability to design and edit graphic presentations, reports, and materials.
  • Advanced Microsoft Office skills, with the ability to become familiar with other programs and software needed.
  • Experience with a wide variety of office equipment and ability to provide minor maintenance.
  • Ability to create reports and relate data and communicate to a diverse workforce and external guests.
  • Ability to make presentations and communicate to both small and large groups.
  • Strong business insight and judgment, team orientation and collaborative style.
  • Demonstrated commitment to excellence - upholds the highest level of integrity and professionalism and performs consistently.
  • Demonstrated problem-solving skills. Excellent verbal and written communication skills to build trust and strong relationships. 
  • Strong time management and organizational skills to plan, develop, coordinate resources, prioritize effectively, and maintain programs and initiatives simultaneously and in a fast-paced environment. 
  • Ability to prioritize and effectively anticipate needs. 
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround. 
  • Ability to ethically handle sensitive and highly confidential information with impartiality and professionalism.

Physical Demands

  • Ability to travel to locations outside the main complex. Valid US Driver’s license with a safe driving record required.
  • Ability to wear appropriate personal protective equipment as required in areas identified through hazard assessment.
  • Requires continuous technical education and training with a passion for knowledge in the field of study to maintain the highest level of knowledge, ingenuity, and creative thinking.
  • Ability to work occasionally in inclement weather/temperature extremes. Occasional exposure to outdoor weather conditions.
  • May occasionally lift and carry up to 40 pounds.
  • The ability to be able to enter, exit, and ride in both class 8 trucks and passenger vehicles.
  • Ability to work overtime when project demands. Ability and willingness to work a flexible schedule when necessary.

Hiring Range for Job Opening 

US Pay Range

$65,400 - $78,500 USD
