The Role
We’re looking for a warm, resourceful, and detail-oriented Office Manager who will also serve as Executive Assistant to our CEO and COO. You will be the cultural heartbeat of our NYC HQ—elevating the in-office experience, managing space and vendors, and enabling our executive team to operate at their highest level.
You’ll own everything from day-to-day office operations and event planning to high-stakes calendar management and travel booking. This is a high-impact role for someone with great taste, high standards, and a natural instinct for anticipating needs before they’re voiced.
You’ll also help support company events in San Francisco as we expand on the West Coast.
What You’ll Do
Office and Culture
- Own day to day NYC office operations: ordering supplies, maintaining kitchen + conference spaces, greeting visitors, and managing relationships with vendors and building management
- Make the office a place people want to be: ensure everything feels considered, from the snacks to the furniture
- Plan and execute cultural moments: weekly team meals, monthly happy hours, employee appreciation events, etc.
- Welcome and onboard new hires—creating a smooth, delightful first-day experience
- Partner with our Arizona-based Workplace Experience team to support remote Valonians and coordinate swag, recognition, and other company-wide initiatives
Executive Support
- Manage complex calendars and travel logistics for the CEO and COO
- Coordinate internal and external meetings, including offsites and client visits
- Help with executive priorities, communication, and time management as needed
Event Support
- Organize NYC-based team events and assist with planning for events in our upcoming San Francisco office
- Manage budgets, vendors, and logistics to deliver high-quality, cost-effective experiences
- Coordinate sporadic employee engagement events. This could look like bringing in a facilitator to host a skills learning session (L&D), bringing in a speaker from an organization that aligns with Valon’s values, partnering with local NYC community organizations (volunteerism) and more
What We’re Looking For
- 2-4 years experience working as an Office Manager, HR Coordinator, Employee Experience or Executive Assistant
- Exceptional organizational skills and attention to detail – nothing gets past you
- Ability to multitask, prioritize, and work independently with minimal supervision, even in a fast paced startup environment
- Raise concerns with the status quo -- if something could be done better, let us know!
- Bring your own ideas; Own projects and processes end to end
- Bring in vendors who you've enjoyed working with in the past, and whose offerings have made a big impact on employees
- A warm presence and great judgement – you know how to read a room, resolve an issue, or spot a broken printer before anyone else notices
- Tasteful, thoughtful and budget savvy
Bonus Points For
- Experience supporting C-level executives
- Prior startup experience
- Prior event planning experience
- Strong knowledge of NYC vendor landscape
Minimum Qualifications
- Strong communication skills, both verbal and written
- Knowledge of Google Suite (Docs, Sheet, Slides, etc) and Gmail
- Self-motivated while having a positive attitude

Location:
Ideally onsite 5 days per week, but hybrid flexibility can be discussed

- Base Compensation Band: $90,000-$135,000. Base salary offered is determined by a number of factors including the candidate’s experience, qualifications, and skills.

New York Base Compensation Pay Range
$90,000 - $135,000 USD
