The executive assistant will be a trusted partner to the Engineering Executive Leadership team. You will be working behind the scenes to support, manage all administrative functions, own impactful projects, and become deeply involved in the business.
You’ll triage and manage the executive’s calendar, handling both high volume and high touch scheduling needs while also connecting the dots across competing and ever-changing priorities. You'll be well positioned to make recommendations to optimize time management, prioritization, delegation, and also take on ad hoc projects.
Responsibilities
- Coordinate meetings, manage and maintain schedules, make appointments, arrange travel, process expense reports, screen and delegate incoming calls/emails, and provide other general administrative support as required
- Take detailed meeting notes, synthesize meeting outcomes, and track action items/follow-ups
- Provide project management and maintain momentum on high-priority projects and initiatives
- Exhibit a strong attention to detail, ability to adapt to daily schedules and routines, and a focus on efficiency without sacrificing quality
- Maintain standards and cadence on workflows while identifying and implementing improvements
- Partner with leader on strategic planning and defining team objectives and priorities
- Handle confidential information with discretion
Basic Qualifications
- Bachelor’s degree or equivalent experience
- 2+ years of experience in an administrative role
- Please note this is an on-site position requiring being in the office in Palo Alto, CA
Preferred Skills & Experience
- Excellent interpersonal and communication skills (verbal and written)
- Highly organized, able to prioritize multiple tasks seamlessly and anticipate changes
- Proactive problem-solver with a “can-do” attitude and ability to navigate ambiguous situations
- High degree of discretion and emotional intelligence to protect the confidentiality of the executive team
Salary Range
- $80,000 - $100,000
