The Office Coordinator is responsible for ensuring smooth day-to-day operations of two office locations. This role supports the Senior Manager, Operations, by managing administrative tasks, maintaining office systems, coordinating meetings and events, and acting as point of contact for internal and external stakeholders.
- Greet and assist visitors, clients, and vendors in a professional and friendly manner.
- Oversee the day-to-day administrative and operational functions of two office locations, ensuring it runs smoothly, efficiently, and safely.
- Manage and track office supply inventory and place orders for each office as needed.
- Support HR and IT with onboarding logistics, including workspace setup, keycard access, and welcome kits.
- Coordinate with IT, HR, and facilities teams to ensure systems and services run smoothly.
- Coordinate scheduling and preparation for meetings, including setting up conference rooms and organizing lunches and refreshments.
- Provide executive and administrative support, including scheduling meetings and travel arrangements.
- Maintain internal directories, seating charts, and organizational charts.
- Assist with audits, expense tracking, and budge related tasks as required.
- Process incoming and outgoing mail and packages.
- Maintain office cleanliness and organization in collaboration with cleaning staff.
- Help plan and coordinate office events, meetings, and celebrations.
- Manage vendor relationships, including onboarding, communication, and ensuring timely payments and invoice processing in coordination with finance or accounting team.
- Provide PR and VM support relating to incoming product management and event coordination as needed.
Primary Location Salary Range:
$70,000 - $80,000
