You will act as a critical right hand, ensuring the smooth day-to-day operations of the CSO’s office while helping drive communication and coordination across the broader business.

What you will do:
Administration Support
- Provide comprehensive administrative assistance to the CSO, including sophisticated calendar and inbox management, travel coordination, and expense reporting.
- Proactively manage the CSO’s email inbox: triaging, prioritising, drafting, and responding where appropriate to maintain momentum across key initiatives.
- Prepare, format, and proofread correspondence, reports, and strategic presentations.
Internal Communications
- Act as a key liaison point between the CSO and internal teams to ensure alignment, clear communication, and timely updates across departments.
- Draft and distribute internal updates, meeting recaps, and communications on behalf of the CSO.
- Support the facilitation of leadership meetings, including agenda preparation, minute taking, and action item tracking.
Meeting and Project Coordination
- Organise, schedule, and manage internal and external meetings, including strategic planning sessions and cross-functional workshops.
- Track project deadlines, milestones, and deliverables for strategic initiatives, ensuring follow-up and accountability.
Event and Travel Planning
- Manage logistics for industry events, executive offsites, speaking engagements, and conferences.
- Coordinate detailed travel itineraries, registrations, and accommodation for the CSO and strategic team as needed.
Information and Document Management
- Maintain and update filing systems, databases, and internal document repositories.
- Handle confidential and sensitive information with the utmost professionalism and discretion.
Additional Support
- Conduct research to support strategic decision-making and project development.
- Assist with ad-hoc projects and requests within the CSO’s remit (i.e. requests from the Strategy or Communications teams) to enable the CSO to focus on high-priority initiatives.
What you will bring:
- 4+ years’ experience in an Executive Assistant or Administrative role, ideally supporting C-suite leaders in a dynamic environment.
- Impeccable organisational skills with a strong ability to multitask and prioritise under pressure.
- Excellent verbal and written communication skills; clear, concise, and professional.
- Proven ability to manage a high-volume inbox and to anticipate the needs of senior leadership.
- High level of discretion, professionalism, and judgment.
- A proactive and solution-focused approach — you stay five steps ahead.
- Tech-savvy with proficiency across Google Suite, Slack, Zoom, and project management tools (e.g., Asana, Trello).
- Strong attention to detail and problem-solving skills.
- Resourcefulness, access management, versatility & strong communication.
Bonus points if you also have:
- Spanish language skills are highly regarded but not essential.
