The People and Workplace Specialist is a passionate and proactive member of GumGum’s People & Culture Team, bringing energy, creativity, and structure to our Santa Monica HQ. This role blends strategic thinking with hands-on execution - managing day-to-day office operations while owning programs that inspire connection, culture, and collaboration across our teams.  The ideal candidate is highly organized, personable, proactive, and passionate about fostering a welcoming, inclusive, and engaging workplace.

This role is a 10 week contract position with the possibility of extension and/or conversion based on performance and company needs.

This role is full-time on-site in Santa Monica, Monday–Friday, 9:00AM – 6:00PM. Reliable transportation and the ability to commute daily are required. Also, please note that this is a temporary position.

What You'll Achieve

  • Workplace Experience & Facilities Management
    • Oversee daily operations and space management at our Santa Monica HQ, while providing light remote support to Mexico, Chicago, and Canada offices.
    • Own vendor relationships, building operations, and service contracts to ensure seamless performance and cost efficiency.
    • Maintain office budgets, purchasing, and supplies with a focus on quality, consistency, and value.
    • Ensure shared storage areas are well-organized and regularly maintained in collaboration with Sales, Marketing, and Employee Experience teams.
    • Implement workplace safety and compliance procedures, including management of office access and security systems and posting required in-office notices.
    • Keep the workspace stocked, functional, safe, and optimized for productivity and collaboration.
    • Coordinate guest visits, executive meetings, and on-site events with a polished, professional touch.
  • Employee Experience & Program Support
    • Plan and execute in-office experiences that energize and unite the team — from culture moments and company-wide gatherings to team celebrations.
    • Partner with external vendors and internal teams to ensure seamless event logistics.
    • Provide scheduling, logistics, and basic coordination for Learning & Development, DEIB, and other engagement programs.
    • Oversee philanthropic and volunteer efforts through the GumGum Gives program, including planning, coordination, and team engagement.
    • Assist with scheduling and coordination of internal meetings, QBRs, and other key gatherings.
  • Internal Communications & Connect+ Intranet Management
    • Own and maintain GumGum’s intranet, Connect+, ensuring communications are centralized, current, and engaging.
    • Post company announcements, events, and program updates in collaboration with People & Culture Team and other departments.
    • Gather and share content that reflects our culture, values, and business updates.
    • Ensure intranet content is easy to navigate, up-to-date and visually aligned with branding.
  • Employee Programs & Onboarding
    • Support onboarding for new team members, ensuring a welcoming and organized first-day experience including scheduling orientation sessions and preparing new hire kits
    • Manage company-wide employee engagement initiatives, including anniversary programs, rewards and recognition platforms (Goody), and global swag strategy.
    • Partner with Marketing on employee-related collateral to support engagement initiatives and People Team programs.
  • DEIB Program Support
    • Assist in coordinating ERG activities and communications.
    • Meet regularly with ERG program chairs to stay attuned to their needs and provide proactive support.
    • Help track DEIB training participation and maintain related records.
    • Support tracking of DEIB budget and initiatives in alignment with strategic goals.

Skills You'll Bring

  • BA/BS in Human Resources, Marketing, Communications, or related social sciences preferred; demonstrated experience and relevant skills are valued equally.
  • 4+ years of experience in workplace or employee experience, event planning, HR, office management, internal communications, engagement, or related programs.
  • Proven experience managing a physical office environment, including vendor management, supplies, and day-to-day operations.
  • Equivalent experience in operations, event management, or program coordination is valued equally.
  • Facilities or Building Operations & Management background is a plus.
  • Within a commutable distance and ability to work onsite at our Santa Monica HQ Monday through Friday during regular business hours.
  • Strong organization and project management skills, with the ability to prioritize and execute multiple initiatives simultaneously.
  • Excellent interpersonal and written communication skills, with the ability to build relationships across teams.
  • Proactive, resourceful, and capable of managing multiple priorities in a dynamic environment.
  • Problem-solving mindset, resourceful, and able to provide solutions and recommendations independently.
  • Demonstrated commitment to inclusivity and fostering a welcoming workplace culture.
  • Proficiency in Google Workspace, project management tools (e.g., Asana, Trello, Monday.com), and familiarity with recognition, intranet, or HRIS tools.
  • Experience with intranet platforms, employee recognition programs, event planning, and DEIB initiatives is a plus.

What We Offer

The reasonable estimated hourly pay range for this role is from ($30.77 - $37.74 per hour).  The actual amount may be higher or lower. Individual compensation will vary based on factors including, but not limited to, relevant qualifications, work location, and labor market conditions.
