
Event Sponsorship Coordinator - Associate
About the Role
iCapital is seeking a highly organized and proactive Event Sponsorship Coordinator Associate to support the execution of both proprietary and third-party event sponsorships. This role is critical in ensuring seamless coordination across legal, financial, and operational functions, while delivering premium client-facing experiences that reflect iCapital’s brand and values.
Responsibilities
- Coordinate proprietary sponsorship activations for client-facing events.
- Assist in drafting, reviewing, and processing event-related contracts in collaboration with the Legal and Compliance teams.
- Ensure all sponsorship agreements and vendor contracts adhere to regulatory standards and internal governance policies.
- Support budget tracking, invoice processing, and reconciliation for all sponsorship-related expenses.
- Contribute to the development of event agendas, speaker coordination, and run-of-show documentation.
- Maintain dashboards and trackers for event KPIs, client engagement metrics, and sponsorship ROI.
- Manage third-party sponsorship logistics including registration, branded materials, shipping, and on-site coordination.
Qualifications
- 3-5 years of experience in event planning, preferably at a financial institution with an undergraduate degree
- Familiar with CVENT, Monday.com, Salesforce, or similar event or project management platforms
- Experience managing budgets, vendor relationships, and invoice workflows
- Strong organizational and time management skills with the ability to manage multiple priorities under tight deadlines in a fast-paced environment
- High attention to detail and commitment to delivering polished, client-ready experiences
- Excellent verbal and written communication skills and the ability to convey information clearly and professionally
- Able to effectively collaborate cross-functional projects with multiple internal teams and external vendors
- Willingness to work extended hours, including weekends and holidays, as needed for event execution with required travel
Benefits
The base salary range for this role is $75,000 to $95,000. iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus.
