Office Administrator/HR Generalist, Netherlands

Job Summary:

The Office Administrator/Human Resources (“HR”) Generalist position will primarily focus on providing support onsite to our team members in the Netherlands and will partner with HR team members in the U.S. on processes and projects. This role will be one of the early stage hires in the EU headquarters for iHerb located in the Netherlands and will help to build out and staff the office by assisting in the hiring of associates in: Accounting, Customer Service, Compliance, and other functions over time.  This role will work closely with other HR Business Partners on employee relations issues, performance management, coaching, counseling, team member development, and retention. 

 

Job Expectations:

 

  • Act as the central point of contact for the Netherlands office providing multidisciplinary support: HR, policy/procedures, administrative, first-line IT, and general office inquiries from outside parties (visitors, delivery, mail, vendors, etc.)
  • Answer team member HR requests and questions or redirecting correspondence to the appropriate contact on the team.
  • Assist with new employee onboarding hiring processes, including new hire paperwork, review I-9s, and process E-Verify within timelines.
  • Liaise with managers, other departments, and/or functions (payroll, benefits, IT, etc.) as needed for onboarding/exiting.
  • Provides advice, assistance and follow-up on company policies, procedures, and documentation;
  • Coordinates the resolution of specific policy-related and procedural problems and inquiries;
  • Supports in performance management, working closely with department managers and supervisors to support our Pay for Performance journey at iHerb;
  • Reviews, edits and approves team member written warnings, coaching plans, and performance snapshots prior to being issued to team members;
  • Makes recommendations to management regarding separation of employment for specific employees;
  • Holds clear and persuasive conversations providing specific benefit information to employees;
  • Provides support to other HR teams in recruitment, engagement, benefits, wellness, recognition and communication.
  • Organize & maintain personnel records with confidentiality.
  • Manage and update job changes through Workday.
  • Process termination in Workday, conduct exit interviews for terminating employees and lead exit processes
  • Be a culture champion of the iHerb guiding principles.
  • Maintain accurate associate data in Workday, including new hire information, termination details, organizational structure updates, job titles, salary increases, and other personnel-related data.
  • Conduct record audits as needed.
  • Serve as the main point of contact for iHerb team members in the Netherlands regarding company policies and procedures.
  • Review job descriptions to ensure the formatting is correct, iHerb language is referenced and consistent across JDs, ensure the title matches the JP, etc.
  • Assist with HR global projects as needed.

Knowledge, Skills and Abilities:

   Required:

  • Experience in office supervision/management.
  • Proven experience as a HR Generalist or relevant human resources/administrative position
  • Knowledge of human resources processes and best practices
  • Strong interpersonal and communication skills
  • Strong multi-tasking skills and ability to succeed in a “start up” environment with minimal supervision and remote support/management
  • Good organizational and time management skills
  • A high degree of accuracy and attention to detail
  • Excellent organization skills and ability to multi-task

Equipment Knowledge:

  • Experience with Microsoft Office Suite (e.g., Word, Excel, PowerPoint, etc.)
  • Experience with Google Business Suite (e.g., Gmail, Drive, Docs, Sheets, Forms. etc.) preferred
  • Experience with HRIS systems (Workday) preferred
  • Ability to use, copier, computer and other office-related equipment

 

Experience Requirements:

Generally requires a minimum of three (3) years’ experience in Human Resources supporting various levels of Human Resources and department management. 

 

Education Requirements:

Bachelor’s Degree preferred or relevant work experience equivalent.  An emphasis in Human Resources/Business Management/Administration preferred.
