IronMountain Solutions has an opening for an administrative support professional to provide support to the Project Manager, employees and sub-contractor employees of the Aviation Turbine Engines (ATE) Project Office. Candidates must have the ability to obtain and maintain an active Secret level security clearance.
Responsibilities:
- Independently carry out recurring office procedures by performing a variety of administrative functions, including supporting ATE-level operations and greeting visitors.
- Maintain a close and highly responsive relationship in the day-to-day activities of the supervisor and staff.
- Process travel authorizations, prepare travel packets, and generate travel vouchers for signature.
- Plan, schedule, and coordinate meeting requirements, invite attendees and schedule a location.
- Prepare and print material for presentations and meetings, coordinate conference attendance requirements and prepare leadership packets.
- Maintain external email distribution lists, spread sheets, meeting schedules, maintain contact information rosters and employee databases, and manage the internal calendar.
- Coordinate farewell events and awards for departing team members.
- Maintain Improved Turbine Engine Program (ITEP) MS Teams channels, included but not limited, to adding and removing members.
- While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use tools or controls; normal physical activity (reach with hands and arms; climb stairs); and communicate effectively with all levels of employees and leadership. The employee must occasionally lift or move office products and supplies, up to 25 pounds.
Education and General experience:
- Must have a BA/BS degree and three (3) years of experience or an associate degree and four (4) plus years of relevant work experience or six (6) years of relevant work experience.
- Experience coordinating and processing government travel, required.
- Previous experience in a government project office is preferred but not required.
- Strong organizational and planning skills.
- Excellent verbal communication skills; high attention to detail.
