Keeley Construction is looking to hire a Job Site Clerk for our Industrial Manufacturing Group in Mascoutah, IL.

Primary Responsibilities:

  • Manage and execute all billing-related administrative tasks for our client.
  • Prepare, review, and submit billing documentation accurately and on schedule.
  • Track and reconcile billing data, ensuring compliance with client and internal standards.
  • Maintain and organize all project documentation, including drawings, submittals, RFIs, change orders, and logs.
  • Ensure documents are properly filed, updated, and distributed to project stakeholders.
  • Support the implementation of standardized document control procedures.
  • Assist the onsite superintendent with daily administrative tasks.
  • Support job site operations by preparing reports, logs, and schedules.
  • Coordinate communication between field staff, office personnel, and the client.
  • Maintain office supplies, equipment, and general site administrative needs.
  • Provide customer service support to visitors and team members.
  • Assist with project-related data entry, filing, and spreadsheet management

Minimum Qualifications

  • High school diploma or equivalent required.
  • Strong Excel skills (ability to create and manage spreadsheets, use formulas, etc.).
  • Exceptional attention to detail and accuracy in all tasks.
  • Ability to manage multiple priorities and meet deadlines.
  • Experience in administrative or construction-related roles preferred but not required.
  • Strong communication, organization, and problem-solving skills.
