
Admin Assistant, Finance
We are seeking a highly organized and proactive Finance Administrative Assistant to support our Finance department. This role is integral to ensuring the smooth day-to-day operations of a fast-paced, deadline-driven environment. You will:
· Provide direct administrative support to multiple Finance VPs, including calendar management, meeting coordination, travel arrangements, and document preparation.
· Act as a reliable backup to Senior Executive Assistants during peak periods or absences, ensuring consistent executive support across the department.
· Assist with the coordination and logistics of executive-level meetings, financial reviews, team offsites, and internal/external events.
· Prepare and submit expense reports, manage purchase orders, and support budget tracking and reconciliation efforts.
· Maintain organized digital and physical filing systems, track department documentation, and ensure all records are audit-ready.
· Support the preparation of presentations, financial reports, and briefing materials; assist with data gathering and analysis as needed.
· Track key project timelines, deliverables, and team responsibilities in partnership with finance leads and project managers.
· Serve as a liaison with internal departments and external partners, facilitating timely communication and issue resolution.
· Identify areas for process improvement and offer proactive administrative solutions to increase efficiency.
· Uphold strict confidentiality and exercise discretion in managing sensitive financial and personnel information.
You Have:
· BA/BS (or equivalent experience) with financial background strongly preferred.
· 2-3 years of administrative or office support experience, preferably within a Finance or corporate setting.
· Strong organizational skills with the ability to manage multiple priorities and deadlines with accuracy.
· Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook); familiarity with financial tools or ERP systems is a plus.
· Strong written and verbal communication skills with attention to professional tone and clarity.
· Self-starter with a proactive mindset, able to anticipate needs and solve problems independently.
· High level of discretion, professionalism, and accountability when handling confidential information.
· Collaborative team player who can work effectively across functions and levels of leadership.
