Contract Project & Finance Data Administrator

**This position is part time (30 hours a week) contract position. We will require that you come into the office at least some of that time.

Job summary and scope:

The Project and Finance Data Administrator will work with the Engagement Solutions International (ESI) team to manage the data within project management systems, including Salesforce and CMap, ensuring its integrity, accuracy and availability. Handling tasks like data entry, maintenance and reporting while also supporting the project team and project managers in their administrative duties. The Project Systems Data Administrator acts as a bridge between the project management system and the project team, finance team and leadership ensuring that data is reliable for reporting purposes and can be used effectively to support project goals.

Key responsibilities:

  • Data Management: Ensuring accurate and up-to-date data within the project management systems, including data entry of project and financial information, maintenance and archiving.
  • Salesforce management, reporting, and administration of Opportunities, ensuring accurate mapping of data between Salesforce and CMap
  • Manage, track and bring-to-closure all Salesforce Opportunities, including amendments to existing work. This will involve close liaison with internal teams.
  • System Administration: Alongside the Precision Enterprise Systems team, managing the project management system's configuration, security, and performance.
  • Update CMap with project cost information on a timely basis as shared by the finance team.
  • Using available CMap reports and with support from the finance team share resource hours with non-CMap Precision group practice area contacts and account management teams on a weekly basis for co-work projects.
  • Add resource hours from other non-CMap Precision entities as shared on a weekly basis.
  • Facilitate go-live process with the finance team of all won projects.
  • Reporting and Analysis: Generating reports and analysing data to track project progress and identify potential issues.
  • Prepare weekly utilisation reports for review before, then circulating to the resource management group
  • Project Support: Assisting the project team with data updates.
  • Data Integrity: Ensuring the security and confidentiality of project data, complying with company access controls and disaster recovery plans.
  • Process Improvement: Identifying opportunities to improve data management processes and systems.
  • Report and escalate data and system issues to management as needed.
  • Undertake any duties as may be required from time to time that can reasonably be regarded as within the remit of the post.
  • Be aware of and conform to legal requirements in all activities, both internal and external. Implicit in this is that all managers and employees conform to the appropriate standards in terms of Data Protection, Health and Safety and Information Security requirements but also to the highest standards of business ethics.

Skills and Qualifications:

Technical Skills:

  • Full training will be provided but an understanding of project management software, database management, and data analysis tools. Familiarity with Salesforce an advantage.
  • Working knowledge of Microsoft Office Applications such as Outlook, Excel, PowerPoint etc. Enhanced Excel skills an advantage.

Organizational Skills:

  • Strong organisational and time management skills to handle multiple tasks and deadlines, and a focus on the detail.

Communication Skills:

  • Ability to communicate effectively with technical and non-technical stakeholders.

Problem-Solving Skills:

  • Ability to identify and resolve technical issues and data-related problems.

Data Integrity and Security:

  • Understanding of data security principles and best practices.
