Position overview:
The Executive Assistant will provide exceptional support to senior leaders, including the Chief Operating Officer, Global Capital Formation, and the Managing Director, Head of North America, Capital Formation, from our New York office. This role goes beyond traditional administrative support—it is a critical enabler of executive effectiveness. The successful candidate will proactively manage day-to-day operations, challenge and improve existing workflows, and build processes aligned with our business values. They will play a key role in fostering a productive and professional environment, ensuring seamless execution and a positive experience for both internal and external stakeholders. Sagard follows a hybrid work model.
Your responsibilities:
- Manage daily operations for the executive(s), including scheduling and transportation, coordinating with EAs across multiple time zones
- Manage multiple calendars to coordinate internal and external meetings, providing Zoom/Teams links, and setting up conference rooms, as needed
- Prepare meeting notes for the executive(s); add to the calendar
- Act as a gatekeeper for the executive(s) and a key contact for vendors, clients, colleagues, and other stakeholders
- Respond to emails, messages, and other requests; prioritize and delegate, as appropriate
- Help organize and support events for the Capital Formation & Investor Relations teams
- Work alongside Office Coordinator to organize meetings at the office, request catering, set up conference rooms, etc.
- Coordinate the printing of documents and presentation materials
- Support the broader Capital Formation team on an ad hoc basis, assisting with scheduling, logistics, and administrative tasks
- Utilize CRM, research contacts and companies as needed to update the CRM, add notes and meetings, as needed, prepare and review weekly reports Oversee all aspects of domestic and international travelGather expenses, prepare, review, and submit various expense reports
- Support the EA team by serving as a backup for urgent matters
- Coordinate the printing of presentation materials and other documents
- Organize conference attendance for executive(s), including registration, fees, travel, presentation materials, and promotional items
- Participate in weekly team meetings, document any follow-ups, and take appropriate action
- Provide proofreading and editing support when required
Experience & Qualifications:
- Minimum 3-5 years of experience in a similar role with senior management
- Knowledge of Google Workspace and other tools, including CRM platforms such as Affinity and Dealcloud, is an asset
- Strong organizational skills, attention to detail, and autonomy
- Experience with the venture capital, startup, or private asset industry is a plus
- Ability to work under pressure in a team environment as well as independently
- Discretion, reliability, thoroughness, and sound judgment
- Excellent interpersonal and communication skills
- Availability and adaptability, good speed of execution
- Flexibility, patience, and prioritization skills
