Title: Global Sample Request Coordinator
Location: Montreal
Department: Operations

Position Summary

We are seeking a highly organized and detail-oriented Global Sample Request Coordinator to manage the end-to-end process of product sample distribution worldwide. This individual will play a key role in coordinating cross-functional requests, ensuring accurate documentation, and collaborating with logistics partners to meet tight deadlines. This role is critical in supporting internal teams (e.g., Sales, Marketing, Product Development, QA) and external partners with timely and precise sample deliveries.

Here are some of the EXCITING things you’ll get to do:

  • Serve as the central point of contact for all global sample requests across departments and regions.
  • Maintain and update the global sample request tracker to ensure visibility, prioritization, and fulfillment status.
  • Review and validate incoming requests for accuracy and completeness; follow up on missing information.
  • Coordinate with warehouse and logistics teams to organize pickups, shipments, and deliveries.
  • Work closely with customs, freight forwarders, and compliance teams to manage international shipments and required documentation.
  • Monitor sample inventory levels and collaborate with product teams to forecast needs.
  • Ensure all stakeholders are informed of tracking details, delays, or exceptions.
  • Continuously look for ways to streamline the sample request process for speed, accuracy, and scalability.
  • Escalate issues and resolve delays in collaboration with logistics teams.

ATTRIBUTES & SKILLS:

  • Strong organizational and time-management skills with the ability to juggle multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Excel and experience with ERP or order management systems (e.g., Oracle, SAP) is a plus.
  • Detail-oriented with a high level of accuracy in handling documentation.
  • Self-starter with a proactive attitude and strong problem-solving skills.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Familiarity with shipping platforms (e.g., FedEx Manager, UPS WorldShip) is a plus.

EDUCATION & EXPERIENCE:

  • Previous experience in sample coordination role
  • 2+ years of experience in a customer service or account management role
  • University degree in Commerce or Supply Chain – preferred but not required.
  • 2+ Years of experience with Retail Majors in a B2B or Drop Ship capacity – preferred but not required.
