Responsibilities:
- The position requires performing a variety of functions that include areas such as assisting in the renewal Support contracts, inventory control, accounting data entry, greeting walk in visitors, assisting in ordering/shipping/receiving of equipment, organization of warehouse, ensuring office supplies are in-stock, and other administrative functions as needed.
- Responsible for shipping and receiving on daily basis.
- Assisting customers by answering questions or directing them to the appropriate resource.
- Performing miscellaneous duties for other departments as needed.
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
- Greeting walk-in customers, handle their inquiries, and direct them to appropriate individuals.
- Collect, sort and distribute mail.
- Files service tickets and other documents as needed.
- Enters and accepts office supply orders.
- Work as fill-in for other administrative positions as needed.
- Identify areas for improvement and make constructive suggestions for change.
- Continually seek opportunities to increase customer satisfaction and deepen customer relationships.
- Escalate customer issues to the Director of Real-Estate and Facilities.
- Responsible for entering time and expenses in appropriate systems daily.
- Onboarding Phot ID Badges for New hires.
- Making Travel, Rental car, Hotel reservations for Real-Estate and Facilities members.
- Monthly Expense Report Submissions for Director of Real-Estate and Facilities.
- Supply ordering
- Booking Conference rooms
- Ups Label creating.
- Sending Follower arrangements and or gifts for various occasions
- Assist with setup and cleanup conference rooms for lager meetings
Qualifications:
- High School graduate with BA degree preferred.
- 1-year+ experience in working with invoicing and credits.
- Proficiency with computer applications (Excel, Outlook, Word, PowerPoint, etc).
- Flexible and able to work in a changing environment, acknowledging urgency when necessary.
- Must be a team player with a positive, can-do attitude.
- Experience with Scheduling Travel
