Housing Services Ambassador (University)

Job Overview:
The Housing Services Ambassador is responsible for all aspects of customer service and business operations within undergraduate housing. This position will support in providing excellent customer service, cross-functional task management, and designing thoughtful and scalable solutions with an emphasis on Conference Housing. Conference Housing is a service provided to internal and external organizations. Managers will manage the day-to-day operations of conferences under the supervision of housing staff members.
The candidate must successfully complete training in the housing systems. During training, instruction will be given on policies and procedures for managing several conference services. The incumbent will be expected to work up to 35 hours per week, with the opportunity to work more hours if available.
Expectations:
• Ability to work with a diverse population of domestic and international students on campus for pre-college participants and conference groups
• Assist with all aspects of summer housing including managing check-ins and check-outs, communication via email and phone, and booking management through StarRez
• Complete all tasks, projects, and duties as assigned
• Detail oriented and organized
• Optimize communication across all areas in housing
• Supervise and support operations assistants
• Have a positive attitude and willingness to learn
Required Qualifications
• Bachelor’s degree or graduating no later than May 2024.
• Minimum one year of experience in housing, operations, or relevant experience.
• Experience with and a commitment to working in a diverse, multicultural environment
• Proficient Computer Skills with MS Office (Excel, MS Word, Power Point and Outlook).
• Communication, and interpersonal skills
• Ability to work independently and as part of a team
Preferred Qualifications
• Experience serving in an on-call rotation or other emergency response role
• Experience working with housing management software (StarRez)
• Experience working at other institutions in urban settings
• Fluency in other languages
Responsibilities:
You will work closely with our assignments, operations, and guest services teams. This position is responsible for all tasks regardless of focus area including conference communication and coordinating check-in and check-out procedures.
Assignments:
• Distribute, reconcile, and follow-up on assignment rosters.
• Manage room assignments for conference groups.
• Create and manage a list of emergency spaces for unforeseen room relocations.
• Coordinate with the ID Center to receive IDs
Guest Services:
• Coordinate with the guest services team on key dates, arrival and departure activity, emergency contact information, and all other pertinent information for conferences
• Program IDs or conference guest cards
• Collaborate with the guest services team to report service requests
• Prepare welcome packets for conference participants
Operations:
• Collaborate with professional staff to manage and execute daily tasks with operations assistants
• Schedule and perform room check and vacancy verifications
• Coordinate vendor activity including linen distribution and management
• Assist with housing special projects
Physical Demands:
• Fine and/or gross motor skills
• Ability to walk, bend, kneel, stand, and/or sit for an extended period
• Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.).
• Ability to lift or move 40 lbs. or greater frequently.

Pay Range
$25 - $27 USD
