Reports To: The Client Services Associate will report to the Client Services Manager or equivalent leadership.
CLIENT SERVICES ASSOCIATE- MAIL CENTER AND OFFICE SERVICES
Job Overview:
The Client Services Associate provides exceptional Mail and Office services in the following areas:
- Mail and Office Services (Mail Center and Print Services).
- Shipping and receiving.
- Office Supply/Pantry: Ordering, Stocking, and Inventory.
- Copier and Print Machines (MFD Devices): Toner and Paper ordering, stocking, inventory, replacement, and basic device troubleshooting.
- Overall, this position requires continuous demonstration of superior customer service and hospitality to all client and SPS employees while maintaining a professional image of the company.
- Regular and punctual attendance is a critical requirement for this role.
Duties and Responsibilities:
- Provides top-level customer service and professionalism to all clients and associates during all interactions.
- Receiving, sorting, documentation/updating status into a chain of custody software system, and delivery of incoming mail and packages.
- Mailing/Shipping, packaging, documentation/updating status into a chain of custody software system and transferring custody of all outgoing items to the proper carrier.
- Acts as point of contact for company personnel on mail/ office services inquiries.
- Performs daily key ops service of multi-function devices and ensures functionality of the device, inventory and replenishing toner and copy paper, and basic troubleshooting (paper jams).
- Submitting and completing work order requests from our work order software system.
- May service and replenish stock in pantry, conference and or kitchen areas. (Varies by location)
- May perform meeting room and conference room set ups.
- May perform building occupant move assistance within assigned facilities.
- May perform light maintenance and light cleaning duties as assigned.
- Maintains the Business Service Center area in a neat and orderly fashion.
- Monitors and replenishes paper and mail services supplies on all floors.
- Assists with copy/print orders and/or monitoring the copy/print equipment for satisfactory functionality.
- Cross training to learn all aspects of the Mail Services team and assists others with cross training.
- Builds and maintains professional relationships with customers and other teams.
- Possible driving involved. Requires a valid driver’s license and clean Motor Vehicle Record background.
- Follow and adhere to all safety protocols and policy/procedure expectations.
- Other duties as assigned by manager or supervisor.
Competencies:
- Strong verbal and written communication skills.
- Excellent customer service skills.
- PC skills, MS Office Suite experience, and data entry.
- Ability to handle multiple tasks simultaneously.
- Good organizational skills.
- Working knowledge of MFD equipment.
- Requires knowledge and understanding of shipping/receiving processes and the ability to determine correct methods and services for packaging and shipping.
- Possesses ability to work independently and capable of completing assignments on time.
- Maintains professionalism and composure when interacting with all employees and provides the highest level of confidentiality.
Qualifications and Education Requirements:
- High School Diploma (or equivalent) required.
- Ability to work assigned work hours determined by manager.
- Excellent organizational and time management skills.
- Analytical abilities and aptitude in problem-solving.
- Effective written and verbal communication skills in an office setting.
- Current knowledge or ability to learn computer-based systems required for functions of position.
- Required to maintain an overall professional appearance and attitude.
- Adhere to all policies and procedures required.
- Requires a valid driver’s license and clean Motor Vehicle Record background.
- Requires fingerprinting and criminal background check.
Physical Demands
- Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.
- Ability to walk, bend, kneel, stand, and/or sit for an extended period of time.
- Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.).
- Ability to lift or move 40 lbs. or greater frequently.
