Job Title: Facilities Services Associate 

Reports To: The Facilities Services Associate will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership. 

Job Overview: 

The Facilities Services Associate provides exceptional office and facilities services. The primary function of the role is to work in facility services with additional support for mail tasks such as scan, sort, log and distribute incoming mail to end users, process, and ship outgoing mail. This position will work together with the Facilities Manager to ensure safety and cleanliness to help guarantee a great working environment for all. This position will also oversee repairs and maintenance required for simple fixes, or report more complex problems. 

Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company by providing prompt, courteous and efficient service. 

Duties and Responsibilities: 

  • Deliver 5-star customer service and maintain professionalism in all interactions.
  • Perform general office maintenance, repairs, inspections, and equipment safety checks.
  • Coordinate and oversee vendor services, office equipment, and supply replenishment.
  • Manage mailroom operations: receiving, sorting, distributing, and shipping packages.
  • Handle office setups, furniture assembly, moves, and conference/meeting room preparations.
  • Support and maintain breakrooms, pantries, kitchens, and business service areas.
  • Perform cleaning and upkeep tasks or coordinate vendor support as needed.
  • Monitor office supplies and place orders to maintain adequate stock.
  • Provide reception/concierge coverage and assist with sensitive inquiries.
  • Train and guide back-up staff on policies and procedures.
  • Proactively seek opportunities to support employees and improve services.

 Competencies:

  • Strong verbal and written communication skills in English.
  • Excellent customer service and organizational skills.
  • Proficient in MS Office Suite and familiar with MFD equipment.
  • Knowledge of shipping/receiving procedures and related documentation.
  • Ability to multitask, work independently, and complete projects accurately.
  • Skilled in selecting proper packing methods/materials and validating packing slips.

Qualifications:

  • High school diploma or equivalent (required); 1+ years’ work experience preferred.
  • Strong organizational, time management, analytical, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficient with or able to learn computer-based systems.
  • Professional appearance, attitude, and adherence to company policies and procedures.
  • Flexibility to work assigned hours as determined by manager.

Physical Demands: 

  • Requires frequent walking, standing, bending, kneeling, and sitting for extended periods.
  • Regular lifting, carrying, and moving of packages up to 60 lbs. (with cart) and 40 lbs. or more frequently.
  • Fine and gross motor skills, with manual dexterity for operating office equipment.

Travel: None or Negligible

Pay Range

$18 - $18.50 USD
