Service Writer

Summary:
The Service Writer is responsible for reviewing additional work reports and providing service quotes as needed. This role ensures consistent and competitive pricing from vendors across all jobs and divisions. Additionally, the Service Writer maintains regular communication with customers to follow up on quote status and ensure customer satisfaction.
Essential Duties and Responsibilities:
- Analyze reports to identify necessary service quotes and ensure accuracy.
- Prepare detailed service quotes by gathering information from technicians and other sources, and review quotes with the Service Manager or Assistant Service Manager.
- Continuously check for the best pricing and availability from vendors to support job costing across all divisions.
- Maintain regular communication with customers regarding quote status and decision-making timelines.
- Complete all required paperwork promptly and accurately, ensuring seamless communication across departments.
- Build strong working relationships with supervisors, field personnel, and other departments to streamline operations and support efficient service delivery.
- Track the status of open and closed quotes and actively participate in review meetings to report on progress.
- Address customer complaints quickly to resolve issues and foster long-term relationships.
- Assist with special projects as assigned by management, contributing to the overall success of service operations.
- Follow safety protocols, report potential hazards, and use equipment correctly to ensure a safe working environment.
Experience and Skills:
- Strong communication skills, with the ability to collaborate effectively with technicians, managers, and customers.
- Familiarity with service operations and vendor management, ensuring optimal pricing and resource allocation.
- Excellent organizational skills and attention to detail for accurate paperwork completion and follow-up.
- Proficiency in using standard office equipment, including computers, phones, and scanners.
- Proficient in computer skills and use of software platforms, business systems, Microsoft Word, Excel, PowerPoint, Teams, Zoom, and shared cloud-based drives.
Physical Demands/Work Environment:
- Sitting for prolonged periods at a desk while using a computer.
- Typing and using a mouse frequently throughout the workday.
- Lifting and carrying light office supplies, such as paper or small packages, typically weighing up to 10 pounds.
- Reaching and bending to access file cabinets and shelves.
- Using a telephone for extended periods to communicate with customers and employees.
- Visual acuity to read and interpret documents, emails, and computer screens.
- Hearing ability to understand and respond to customer inquiries and communicate with colleagues.
