Sales Operations Support Specialist II - Flex

Overview 

The Sales Operations Support Specialist II supports all commercial activities for Direct Accounts and Business Partners. This includes pricing proposals, contract creation, deal and Statement of Work (SOW) support, validation of contracts and purchase orders, and overall contract lifecycle management. 

This role plays a critical part in ensuring deals, opportunities, and purchase orders are processed efficiently and in compliance with JSOX and TGCS policies. The Specialist collaborates closely with Finance, Legal, Sales, Project Management, and partner teams to support quoting, resolve issues, and drive operational excellence. 

This is a developing role with the ability to independently manage standard and moderately complex scenarios, while receiving guidance on more advanced or complex transactions. 

Qualifications 

Education: 

  • Bachelor’s degree preferred, or equivalent combination of education and experience  

Experience: 

  • Minimum of 2+ years of relevant experience in sales operations, sales support, or a related field  
  • At least 3 years of experience creating, validating, and processing contracts and proposals (services and HW/SW preferred)  

 Skills & Expertise 

  • Bilingual proficiency in English and Spanish, with the ability to effectively communicate with Spanish-speaking customers, partners, and internal stakeholders Strong understanding of contract management, quoting, and sales support processes  
  • Experience with Oracle (Projects, OKS, or Quote-to-Cash preferred)  
  • Intermediate Excel skills; proficiency with Microsoft Office (Teams, OneNote, SharePoint, PowerPoint)  
  • High attention to detail and strong organizational skills  
  • Excellent written and verbal communication skills, including presentation abilities  
  • Strong analytical and problem-solving capabilities  
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment  
  • Customer-focused mindset with a commitment to quality and accuracy  
  • Self-motivated, adaptable, and able to work both independently and collaboratively  
  • Understanding of billing and revenue recognition principles preferred  
  • Experience supporting budgeting and forecasting processes is a plus  
  • Flexibility to work extended hours during month-end and quarter-end periods  

 Key Responsibilities 

Quote, Contract & Deal Management 

  • Create and manage customer contracts, pricing proposals, quotes, and service projects  
  • Support deal structuring, SOW development, and contract review/validation  
  • Validate purchase orders, contracts, and service agreements for accuracy and compliance  
  • Process deals, opportunities, and orders efficiently within established systems and policies  
  • Manage account setup, contract registration, and lifecycle tracking  
  • Support product configurations, service offerings, and client rollouts  
  • Partner cross-functionally to resolve issues and ensure seamless execution  
  • Provide transactional, operational, and contractual support to internal and external stakeholders  

Operational Metrics & Reporting 

  • Assist in tracking and reporting operational performance metrics  
  • Support management reviews by identifying trends and variances  

Process Improvement & Systems Enhancement 

  • Maintain and improve operational processes for efficiency and accuracy  
  • Support automation initiatives to reduce manual effort  
  • Assist with documentation, training, and continuous improvement efforts  
  • Identify system gaps and support IT enhancements, including UAT and functional reviews  

Business Controls & Audit Support 

  • Support JSOX compliance and external audit activities  
  • Ensure proper documentation and record retention for all commercial transactions  

Additional Responsibilities 

  • Perform other duties as assigned to support business operations

 Role Profile 

This role requires a solid understanding of departmental tools, processes, and systems, including Oracle. The Sales Operations Support Specialist II is capable of handling standard and moderately complex transactions independently and may assist in training new team members on foundational processes and tools.
