As an Executive Assistant at Zip, you’ll sit at the heart of our operations, enabling executive efficiency and organizational effectiveness. Based in our Manhattan office on a hybrid schedule (approximately three days per week), you’ll be instrumental in managing complex calendars, streamlining communication, and overseeing key administrative functions including travel coordination, expense reporting, and team event logistics. Your presence in the office will help drive connectivity and collaboration across teams, ensuring our leaders are supported in real time.

We’re looking for an Executive Assistant who is not only highly organized but also strategic, proactive, and adaptable. You’ll work closely with two dynamic and high impact leaders: our Chief Commercial Officer (CCO) and Vice President of US Strategy & Corporate Development. This is not just a scheduling role, it's a unique opportunity to act as an extension of the executives you support. You’ll need to be comfortable navigating ambiguity, making smart decisions independently, and leaning into in-office interactions that enhance executive alignment, culture, and momentum.

Interesting problems you’ll get to solve

  • Executive Calendar Management: Own complex calendar coordination for two (potentially three) executives, balancing shifting priorities, time zones, and high volumes of meeting requests
  • Meeting Coordination: Schedule and organize internal and external meetings primarily virtual across global time zones, ensuring all logistics are managed seamlessly
  • Stakeholder Liaison: Serve as the primary point of contact for executive communications, acting as a trusted gatekeeper and liaison between executives and internal/external stakeholders
  • Priority Alignment: Partner closely with executives to align on strategic priorities and ensure time is optimized around the most important initiatives
  • Agenda & Meeting Readiness: Review and vet meeting requests to ensure agendas are clear and objectives are defined before time is committed
  • Meeting Participation & Follow-Up: Join select meetings to manage agendas, take detailed notes, and circulate clear action items with accountability tracking
  • Task & Action Management: Proactively follow up on delegated tasks to ensure timely progress and completion by relevant team members
  • Travel & Logistics: Coordinate travel arrangements including flights, accommodations, and ground transportation while adapting to last-minute changes with ease
  • Team Events & Culture Initiatives: Support the planning and execution of offsites, team-building events, and internal celebrations that foster engagement and connection
  • Culture Champion: Embody and promote Zip’s core values; Customer First, Own It, Stronger Together, and Change the Game in every interaction and initiative

What you’ll bring to the team 

  • Proven Experience: 3+ years supporting C-level executives, senior leadership, or high-performing teams in a fast-paced, dynamic environment
  • Location & Availability: Based in the New York City metro area with the ability to work from our Manhattan office an average of 3 days per week
  • Proactive & Solutions-Oriented: Demonstrates a self-starter mindset with a “no task too big or small” attitude; takes initiative to solve problems before they arise
  • Exceptional Organization: Highly detail-oriented and skilled at managing multiple competing priorities seamlessly, often under tight deadlines
  • Strategic Partnership: Able to operate as an extension of the executive, anticipating needs, prioritizing demands, and contributing to the bigger picture
  • High EQ & Relationship Management: Personable, emotionally intelligent, and adept at building strong, trusting relationships with executives, teams, and external partners
  • Agility in Ambiguity: Comfortable navigating and adapting to evolving priorities in a scaling environment; thrives in change
  • Excellent Communication Skills: Strong verbal and written communicator with a professional, polished presence across all mediums
  • Tech-Savvy: Proficient in Google Workspace, Slack, and Microsoft Office Suite; eager to streamline operations and share productivity hacks with the team.

Zip is committed to a straightforward and transparent pay structure. The actual base salary will be determined by various individualized factors, including job-related knowledge, skills, experience, location, internal equity, as well as other objective business considerations.The annual base Pay Range for this position is $105,000-$110,000 USD. This range reflects our *Premium Location band (US2). Different bands may apply based on our tiered premium strategy if residence is outside of the New York Metropolitan Area. Subject to those same considerations, the total compensation package for this position may also include other elements, including a bonus and/or equity awards, in addition to a full range of medical, financial, and/or other benefits. 

If hired, employees will be in an 'at-will position' and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation or benefit program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
