ROLE OVERVIEW
The People & Culture Experience Coordinator (PCEC) plays a dual role in driving a vibrant, inclusive employee culture while supporting key administrative functions of the People & Culture team. This position is responsible for planning and executing high-impact employee engagement ensuring all logistics, vendor coordination, and creative elements are managed seamlessly. In addition to event planning, the role provides essential HR administrative support including onboarding, offboarding, internal communications, and day-to-day employee assistance. This individual will contribute meaningfully to the employee experience, organizational connectivity, and overall operational efficiency within the People & Culture function
RESPONSIBILITIES
Employee Engagement
- Plan, coordinate, and execute company-wide employee engagement events throughout the year (e.g., holiday parties, team-building events, wellness initiatives, appreciation days, and milestone celebrations).
- Manage event logistics end-to-end, including budget tracking, venue/vendor selection, contract negotiations, catering and on-site execution.
- Partner with internal stakeholders and creative teams to develop innovative event concepts that reflect company values and culture.
- Proactively propose event ideas and engagement strategies for leadership review and approval, ensuring alignment with organizational priorities.
- Maintain a master events calendar and timeline, ensuring all event elements are planned and communicated in a timely manner.
- Coordinate employee communications related to events (e.g., invites, announcements, follow-ups, surveys).
- Track event feedback and success metrics to continuously improve engagement programming.
P&C Administrative Support
- Assist with new hire orientation, including scheduling, preparing materials, and day-of coordination.
- Compose and distribute the monthly company newsletter, including content gathering and formatting.
- Serve as a first point of contact for basic employee inquiries regarding HR processes, company policies, and general People & Culture matters.
- Support the preparation and processing of termination documentation and offboarding tasks.
- Assist with general HR administrative tasks, such as maintaining employee records, filing, and scheduling meetings.
- Help maintain People & Culture documentation, templates, and communications materials.
- Participate in ad-hoc projects and internal programs as needed.
QUALIFICATIONS
- Associate or bachelor's degree in human resources, communications, marketing, hospitality, or related field preferred.
- Minimum 2–4 years of experience coordinating corporate events, preferably for 500+ employees in a creative, high-growth, or fast-paced environment.
- Prior experience in an HR support or coordinator role strongly preferred.
- Exceptional organizational and project management skills with the ability to manage multiple events and priorities simultaneously.
- Strong written and verbal communication skills, with the ability to engage diverse employee groups and leaders effectively.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with Canva or other content creation tools a plus.
- High attention to detail and follow-through.
- Positive, proactive, and collaborative attitude; must be comfortable interfacing with employees across all levels.
- Ability to handle sensitive and confidential information with discretion.

- Sitting/Standing: Will be required to sit for extended periods while working at a desk, using a computer, and attending virtual meetings. Occasional standing may be required during in-person meetings or when visiting different departments.
- Walking: The role may require walking through the warehouse or office space to engage with associates, observe operations, or attend team meetings.
- Typing and Computer Use: Frequent use of a computer, keyboard, and mouse for email correspondence, data entry, and accessing HR software. This includes typing for long periods to update records, create reports, and communicate with employees.
- Communication: Clear verbal communication is necessary, including speaking with employees in person, on the phone, or via video conferencing. Active listening skills are required to understand employee concerns and provide effective support.
- Light Lifting: Occasionally it may be required to lift or move items such as files, small office equipment, or boxes up to 15 pounds when assisting with department-related tasks or organizing materials.
- Visual and Auditory Demands: Ability to visually review documents and reports, as well as monitor employee performance and wellbeing through meetings, observations, and discussions. Hearing and understanding verbal communication is essential for effective interaction with employees.
