Event Production Manager / Fortune Live Media Division

Fortune Live Media is seeking a highly motivated and extremely detail oriented event production manager to assist in planning, organizing and overseeing events for Fortune’s Most Powerful Women and Brainstorm communities to ensure they run smoothly and meet their objectives.

The manager is responsible for executing and ensuring white-glove experience at conferences and community events.

Preferable candidates will have a keen understanding of how to marry business objectives with event experience, thrives “in the weeds”, is a detailed and organized planner, a creative problem-solver and an expert communicator comfortable leading people at all levels.

The position is based in New York City and will include both remote and in-office work. A successful candidate will have the flexibility to travel domestically and internationally to events if required.

Primary responsibilities include:

- Meeting with internal stakeholders to collaborate on event needs, goals, and success metrics. Establish clear roles and responsibilities. Enable attending staff with reports, event briefs, run of shows, staff meetings and other resources to ensure they’re set up for success.

- Developing event plans including timelines, schedules and task assignments. This involves coordinating with vendors, venues, and other service providers.

- Overseeing the event set-up, execution and tear-down to ensure everything runs according to plan, gracefully handling any issues that may arise, and managing the event staff.

- Develop and manage event budgets and vendor invoicing, ensuring all events are delivered within financial constraints.

- Ensure compliance with insurance, legal, health and safety regulations.

- Support the VP, Production with tasks associated with logistics before, during and after events including travel and hotel accommodations, ground transportation, catering contracts, facilities management and insurance requirements.

- Represent and deliver service excellence with program participants. Ensure their needs are anticipated and executed properly.

- Review and create events timeline and work with stakeholders to ensure program preparations are completed on time and all event staff are informed changes and event development in the event lead up.

Qualifications:

- 5+ years of experience in corporate event planning and management.

- Proven track record of successfully managing large-scale events from conception to completion.

- Strong project management skills with the ability to thrive in a fast-paced environment, multitask and meet tight deadlines.

- Excellent communication and interpersonal skills.

- Creative thinking and problem-solving abilities.

- Detail-oriented with a focus on quality and excellence.

- Strong negotiation and contract management skills.

- Ability to work independently and as part of a team.

- High level of professionalism and customer service orientation.

- The role may require working evenings, weekends, and holidays to support event schedules.

- Some physical activity may be required for event setup and breakdown.

 

Total Compensation:

$80,000 - $90,000
