Workplace Operations Manager
Location: NYC 5 days in-office requirement
Qualifications:
- 5+ years of office operations or office management and/or Executive Assistant experience in a high-growth start up environment.
- Strong leadership skills with experience collaborating with global teams. Confident presence and ability to encourage and engage employees at all levels.
- Strong proficiency with workplace tools (Mac, Google Suite, Microsoft Office, A/V equipment, etc.).
- Experience managing budgets, expense tracking and vendor negotiations.
- Exceptional organizational skills with extreme attention to detail. Self-starter who thrives in a fast-paced, every-changing environment and can anticipate needs before being asked.
- Excellent judgement, problem-solving ability, proactive mindset, with a “can do” attitude. Highly collaborative with excellent communication skills (verbal and written) for internal and external stakeholders.
Bonus points:
- Experience in a hyper-growth, global startup environment.
- Experience in event coordination, travel management and calendar management.
- Familiarity with international teams and cross-cultural collaboration.
- Knowledge of workplace health and safety regulations.
- Hebrew and/or Spanish language skills are a plus.
A day in the life and how you’ll make an impact:
- Serve as the “face” of the office, being the first point of contact for employees, leadership and visitors. Act as receptionist for guests, ensuring professionalism and confidentiality at all times.
- Oversee day-to-day operations of our Melio New York City office ensuring organizational, functionality and alignment with company culture and values.
- Manage vendor relationships (cleaning, landlords, HVAC, security, plant care, etc.) and negotiate contracts to ensure smooth and cost-effective services.
- Coordinate team meals, in-office gathers and company events in partnership with Employee Experience, People and DEI teams. Ensure kitchens and pantries are stocked with groceries, snacks, beverages and other essentials.
- Handle all employee requests for equipment, furniture and supplies. Anticipate office needs and proactively resolve issues before they impact the team.
- Assist in calendar management, travel and special projects for leadership or visiting executives as needed.
- Support new employee onboarding and onboarding tasks visiting leadership, space booking and hospitality. Foster an inviting, inclusive and collaborative environment that reflects our mission and values.
- Track and manage site budgets, partner with Finance for reporting, forecasting and adherence.
- Ensure compliance with office health and safety protocols and local regulations. Oversee workplace technology, security systems, Wifi and building access.
