The Role
We are looking for an energetic and proactive Administrative & Community Engagement Associate who is ready to take on a variety of tasks and make a meaningful impact across the organization. In this dynamic role, you'll be responsible for providing high-level administrative support to our founders, improving operational workflows, and cultivating a positive team culture. You will also manage external-facing events and work closely with the team to enhance the overall employee experience. This position requires someone who is comfortable wearing many hats and thrives in a fast-paced environment. A successful person for this role will have a very strong bias for action and is a natural operator.
Responsibilities
Administrative Operations & Efficiency
- Manage administrative tasks such as scheduling, booking travel, and ordering office supplies.
- Examples include booking founder travel, scheduling interviews with candidates, and or any visitors coming to our HQ.
- Handle budget requests, reimbursements, and expense approvals.
- Extra credits if you have experience with expense management software like Ramp! They will also partner with our Chief of Staff for future company wide policies.
Event Planning & External Engagement
- Plan and execute internal and external events, including customer-facing activations, networking dinners, and team retreats.
- A great candidate can proactively listen to our people and come back to the leadership team with well thought-out plans and initiatives.
- Coordinate logistics for team happy hours and bi-weekly social events.
- People's experience and happiness meter is an important measurement that this hire will excel at!
- Lead the planning and execution of customer events such as private dinners and company conferences and summits.
- An excellent hire is someone who can work backwards from our firm's objectives and provide a great experience/event.
- Work with external vendors to organize lunch deliveries, order forms, and event logistics.
- Partner with marketing on event promotion, ensuring alignment with broader company initiatives.
Team Culture & Community Building
- Foster a strong community and positive employee experience by planning regular team social activities, such as happy hours, company-wide social events like New Hire Dinners, quarterly retreats, and the Holiday Party.
- Create and implement initiatives to celebrate team milestones, such as birthdays and work anniversaries
- Manage the distribution of team and customer swag to enhance the company’s brand presence.
Talent & Recruiting Support
- Assist with high-velocity hiring by scheduling interviews, coordinating in-office visits, and sourcing candidates.
- Hiring is a team sport. Periodically, some support to our Head of Talent & People is invaluable.
- Support the onboarding process for new hires, ensuring a smooth and welcoming experience.
- Making sure we have the right IT set up (Laptops, keyboard, etc) and other miscellaneous items like a building ID badge and having access to our lunch benefits.
Project Management & Office Operations
- Take the lead on office-related projects, such as office moves and reorganization.
- A good operator is someone who can ask for help when needed. Someone successful here can figure out what’s needed to get this done and proactively drive this, while also enlisting the help of the broader team.
- Collaborate with office management to ensure the office environment is stocked and organized.
- We all get hungry! Head of Costco deliveries is a power that not everyone can handle. Be prepared to manage the expectations of a team that might occasionally ask you to order them a nintendo switch for the office!
Compensation & Benefits
For this role, the salary range is $60,000-$80,000. Actual compensation will vary based on skills, experience, and interview performance.
